- Central mail departmentCentral Mailroom The Central Mailroom is responsible for receiving, distributing, and sending mail items. Incoming mail and internal mail are delivered across the campus and to the Capitool building. On the Mail rounds page, you can find which buildings are included in the delivery routes. - Central receiving of goodsCentral Goods Reception The Central Goods Reception is responsible for receiving, registering, and distributing all non-food goods arriving at the university. Upon receipt, goods are checked for the number of packages and any visible damage. If required, a signature is provided upon delivery. Registration All incoming goods are registered in the Track & Trace system. The following information is recorded: Order number Recipient’s name Department/building Number of packages Supplier Shipment description Special remarks (if any) Through Track & Trace, you can easily see which packages have arrived and their current location. You can search by order number, supplier, or date. When a shipment is delivered, the recipient signs for receipt in Track & Trace. Distribution of goods After registration, goods are consolidated into containers per building. Distribution is organized as follows: Daily delivery: Carre and Horst Other buildings: Delivery depends on the number of packages, with a maximum lead time of 72 hours
- Mail roundsMail rounds The mail rounds will be made on Monday, Wednesday and Friday start at approximately 10:00. - Send mail (internal)Sending Internal Mail Destinations Internal mail is delivered on the UT campus and in the Capitool building. For the Friesland branch and other destinations, mail must be sent via external mail. Submitting internal mail You can use UT envelopes for internal mail (available free of charge at the Central Mailroom). Other envelopes or packaging are also allowed. Submit internal mail at the Service Desk of your building; they will arrange further delivery. Always include complete address details to avoid delays: Recipient’s name Building Faculty or service (if applicable) Date of sending Sender’s name and building Guidelines for internal UT envelopes If all address fields have been used, take a new envelope. Do not use staples or tape to seal the envelope. Delivery time Internal mail is collected from your building on Monday, Wednesday, and Friday mornings. The mail is delivered to the Service Desk of the respective building at the next delivery round. The Service Desk further sorts the mail into individual mailboxes
- Send mail and parcels (external)Sending mail and parcels (External) Submitting external mail External mail is collected by your department’s secretary in the colored mailbag of your department. Submit this mailbag at the Service Desk of your building. Mail is collected on Monday, Wednesday, and Friday mornings. After collection, the mail is immediately sent to the external mail processor. ⚠️ Important: Always keep internal and external mail separate. Only external mail may be placed in the external mailbag. Make sure the mail is neatly aligned (all addresses facing the same way). Parcels Parcels that need to be shipped can be dropped off at the service desk of your building. At the service desk, shipping labels are available which you can fill in with the sender’s details. If your parcel needs to be sent by express mail, you can find correct information here. Delivery time Mail submitted at the Service Desk before 10:00 on Monday, Wednesday, or Friday will be processed the same day and forwarded to the external mail processor. Do you have an
- Sending express mailExpress Shipments In recent years, the costs of express shipments have risen significantly. Therefore, all shipments are now sent by standard delivery. In exceptional cases, an express shipment may still be necessary, for example in the case of urgent deliveries or high-value items. In such cases, the following applies: You must deliver the package yourself to the Mailroom (Dienstweg 1). Use the express shipment form, which you can [download below]. Complete the form digitally, print it on A4, and attach it separately to the package (e.g., with a paperclip or tape) Submitting express shipments via the Service Desk is no longer possible. Important: If you deliver the package to the Central Mailroom before 14:00, it will be registered and collected by the carrier the same day.
