Handling of mail For internal mail, you can use the UT envelopes for internal mail, but other envelopes and packages are also allowed. Envelopes for UT internal mail can be obtained (free of charge) from the Central Mail Room. Internal mail can be handed in at the Service Desk at hand, who will handle the further dispatch. - Central receiving of goodsAll non-food items ordered by University employees are received centrally. After checking the number of packages and checking for external damage, the item is signed for receipt. Registration All incoming goods are registered in Track & Trace. The following information is included: Order number Name of recipient Department/building Number of packages Supplier Description of shipment Any special notes Distribution of goods Every day, the containers with the container list are delivered to the relevant buildings. The container list is a summary from Track & Trace containing all parcels that have arrived that day for that building. The container lists for each building are printed and given to the driver. The internal service of your building checks the number of packages on the container list and signs it for receipt. - Send mail (external)External mail is collected in the blue mail bag in the secretary's office of your department. This blue mail bag is delivered to the Service Desk of your building. Mail that is handed in before the second mail round will be processed and transferred to the external mail processor the same day. The address information must be clear and must contain all details needed for proper delivery to the destination. Please use the standard layout for the address. And address in the Netherlands has the following layout: The bottom line consists of the postcode and the city. A postcode consists of four (4) digits and two capital letters, separated by a space. Postcode and city are separated by two spaces.The city is in capital letters. The line above this consists of the street name/P.O. box and the number. Above this is all other address data, such as name, company, contact, department, room number, etc. This may be more than one (1) line. - Sending express mailExpress mail will be sent by the Central Mailroom via DHL, Worldwide Express. If you hand in an express item at the Central Mailroom before 15:30, it will be registered and collected by DHL Worldwide the same day. Always clearly indicate that the item must be sent by express mail, as well as the insured amount. The following information should be written on the envelope when sending documents: Write your address details in the upper left-hand corner. The full delivery address. Please note: no P.O. box numbers. The telephone number of the addressee. If possible, fax number and email address. Content of the shipment. When sending goods, an invoice must be attached.
