With the Planon Live app, you can book a room or workplace and see its occupancy. Using the QR code near the entrance door or at the workplace, you can view the occupancy and book directly. Please only book rooms/workplaces that belong to your own organization.

Log in to the app

  • Open the app and enter https://utsm.utwente.nl at Company URL, or scan the QR code below:
  • Enter your UT e-mail address and password. The app is now ready to use.

    Planon Workplace Engagement App / Planon live app

    1 INTRODUCTION

    This privacy statement describes how the University of Twente (UT) handles your personal data in the Planon live app. PURPOSE OF PROCESSING:

    1. The purpose of processing is to enable users to find a suitable workplace that meets their expectations.
    2. To find a suitable workplace based on building, floor, space, time, facilities present in the rooms and, if applicable, where your colleague has booked a space.
    3. To show the availability of spaces/workplaces in the app that are used by yourself or others.
    4. To show your own reservations in the app, to be able to modify them, to be able to delete them, the possibility to check in and out to indicate that you are actually using the workplace.
    5. For those who have indicated to share their location of the workplace, it is possible that others can find the space where you have reserved a space in the app. (So-called: Find my friends)
    6. To provide the UT management organization with reports on how often workplaces/rooms/facilities are used (report is anonymized).
    7. The Planon administrators have access to the data to perform management tasks to keep the service operational.

    3 ACQUISITION OF PERSONAL DATA

    The personal data used by the Planon live app comes from:

    • UT Employee data: via the AFAS source system
    • UT Student data: via the Osiris source system
    • UT Third-party data: via the EduGUEST source system
    • Space data (Property, Room, Desk number) is recorded in the Planon source system. If any of the mentioned source data is not made available, users/user groups cannot reserve workplaces.

    4 TRANSFER OF PERSONAL DATA

    The Planon environment is hosted in the cloud (AWM-Germany) and separate processing agreements are in place for this. The log data is automatically deleted after 3 months. The reservation data is cleared after 3 months, this is a separate process.

    5 YOUR RIGHTS

    The UT processes your personal data, but you as a data subject have various rights to control your personal data. Below you will find more information about these rights. If you have any questions about this or wish to exercise these rights, you can contact the Data Protection Officer (fg@utwente.nl) or use this form.

    5.1 Right of access You have the right to receive a copy of the personal data processed about you.

    5.2 Right to erasure This is the right to be ‘forgotten’. It is not always possible to delete all personal data.

    5.3 Right to rectification and supplementation This concerns the right to have personal data changed.

    5.4 Right to data portability This is the right to transfer personal data to another party.

    5.5 Right to restriction of processing This is the right to have less data processed.

    5.6 Rights with regard to automated decision-making and profiling This concerns the right to a human look at decisions based on automatically processed data. [Explain if this is applicable]

    6        COMPLAINTS

    If you have a complaint about the processing of your personal data, you can file a complaint with the Dutch Data Protection Authority.
