- Attaching posters on the CampusWe would like to keep our beautiful UT campus tidy and prevent every furnishing on the grounds, from lantern posts to rubbish bins, being covered with posters and stickers. We, therefore, have an active policy in place in respect of unauthorised flyposting: There are 20 poster pillars distributed across the campus (see map below) Flyposting anywhere else on campus is strictly forbidden. All associations and organisations that are part of, or affiliated with the UT are free to display their announcements on these poster pillars. All poster pillars are thoroughly spray cleaned in the first week of each term. Do not paste posters over events that have not yet taken place, unless there are multiple posters, in which case 1 poster on every pillar must remain unobscured. Do not cover the entire pillar with 1 kind of poster, unless all events have already taken place, or the poster pillar is empty. - Bicycle parking/storage areasThere are two types of bike storage area's on campus: open bike storage areas and indoor/enclosed storage areas (for staff only). Type 1: Open bike storage areas Overview of the various bicycle storage areas on the campus links to bicycle-parking.pdf Bicycles must be stored in the intended areas, and the entrances to the buildings must be kept free of obstruction at all times. Bringing bicycles into any of the buildings is not permitted for safety reasons. Bike parking around the O&O square As of 23 August 2023 the O&O square will be free of parked bicycles. The intention is to create a pleasant meeting place with room to work and study on the square. Bicycle parking spaces have been created around the O&O square. Please find the on the below shown map. Type 2: Indoor/enclosed bike storage areas for staff Most buildings provide access with employee card (Citadel, Horst, Spiegel, Waaier, etc), but some building's storage areas can only be accessed with keys. - Car parkingAt the campus, there are a number of (free) parking facilities in the immediate vicinity of the buildings. The larger parking lots are indicated on the signposts as P0, P1, P2, and P3. On the entire campus, parking is only allowed in the designated parking spaces. This is closely monitored by Security and the police. Please find the car parking areas on the campus map. There are different types of parking spaces on the campus: General parking spaces Parking spaces for permit holders Parking spaces for the disabled Parking for bicycles / motorcycles Bicycles must be placed in the bicycle parking. The Facility Department is entitled to move/remove any bicycles parked outside the designated areas. Motorcycles must be parked in a parking space for motor vehicles. Parking spaces for the disabled There is a limited number of parking spaces for the disabled. These must only be used by persons in possession of a valid parking permit for the disabled. - Key issuance for roomsIf a room has a lock, it is possible to obtain one or more keys on loan. The keys are issued in a specific person’s name. Ordering process You can request an extra key from the Service Desk of the building or the Central Service Desk. The Service Desk is entitled to ask for UT identification. If the Service Desk has the key available, it will be issued immediately. If they do not have the key available, they will order it. Costs will be billed to the applicant. All keys on loan remain the property of the Facility Department. Lead times Keys that are ordered will be delivered in about 4 weeks. Keys that are in stock are issued immediately. Costs The cost for each key ordered is approximately €18. An OFI number is required to process the order. Responsibility The building Service Desk is responsible for ordering and registering keys. - Planon manual for facility departmentLISA-ICT and CFM both use Planon to process requests and breakdowns. You can track your own requests by logging into the Planon website on this URL: https://utsm.utwente.nl. Log in with your UT account (email address). Multi-factor authentication is enabled for Planon. Go to Multi-Factor Authentication on the Service Portal for more information. - Plant care (purchase and maintenance)From 1 May 2015 onwards, a framework contract was entered into with Flora Nova Interieurbeplanting BV (formerly known as Anticimex Plant Care) for the purchase and maintenance of interior plants, plants and seasonal decoration. Giving plant advice for all questions regarding plants from UT is a part of this contract. Order Method We made a selection of the strongest plants that are suitable for an office environment. Flora Nova Interieurbeplanting is also the place to be for planters. For the images of the products on offer, see download options below (documents are in Dutch). Please note that you have to log in to be able to see and download them. Of course, it is possible to deviate from this selection. However, it remains useful to have Flora Nova assess the order for possibilities and impossibilities before making a final decision. Apart from specific amounts of light, different plants also have other requirements. For every order, Flora Nova will do this assessment and, if necessary, make the right choice
- Replace door cylindersInstalling or changing a door cylinder in an office, archive room, or meeting room due to a move or for safety reasons is the internal service’s job. There are options for installing simultaneously closing cylinders within a single group, but it depends on the building’s closing plan. Ordering method You can turn to the building’s Servicedesk to make you wishes known. The internal service will change the cylinder themselves. The service desk may ask for your UT ID. Door cylinders are not always kept in stock; the internal service will take care of ordering the cylinder and the corresponding keys. All cylinders and keys always remain the property of the Facility Department. Delivery time The delivery time of ordered cylinders and their corresponding keys is four to six weeks. Costs The costs for a cylinder plus three keys amounts to around € 75. An OFI number has to be specified. Responsibility Replacing cylinders falls within the internal service’s purview. - Roof protocol / roof workThere is a significant risk of falling when working on roofs. The policy of the University of Twente aims to enable people to work safely. All roofs of the UT have been examined for risks and, where necessary, equipped with fall protection systems to improve people’s safety when working on roofs. However, clear agreements and procedures must be followed to ensure that it remains safe to work on roofs. Rules for accessing roofs of UT Buildings The following rules apply to accessing roofs: Only qualified and SCC-certified (Safety Checklist Contractors) personnel may access roofs of UT buildings. In exceptional circumstances supervisors will instruct any non-certified persons. After instructions have been given and the roof protocol (see below) has been signed, these persons must remain within the marked safety zone on the roof. - Sorting waste materialsNote: change in the separation of waste at UT Starting 1 April 2023 The PMD waste stream (plastics, metal, and drinks cartons) has changed into PD waste (plastics and drinks cartons). As of this date the metal cans do not belong in this section of waste but should be returned to a collection point for a deposit. If you still want to throw them away, please do so in the residual waste. They will then be separated in the processing of the residual waste. Waste on campus At the University of Twente, we try to separate it as much as possible to facilitate recycling and what cannot be recycled we dispose of properly, safely and responsibly. - Temperature influencing HorstThere is a variety of ways to adjust the temperature in the Horst building. The options for each area are described below. There is also a manual that explains each setting on the thermostat. Horst centre Canteen, automatic temperature control (however, there are thermostatic radiator valves), canteen staff can control ventilation with a switch. Lecture room C101, automatic temperature control, cannot be adjusted by third parties. Study and culture centre, automatic temperature control, cannot be adjusted by third parties. - Temperature influencing ZuidhorstTo increase the temperature in the room, the thermostat valve on the radiator first needs to be set to a comfortable level. This setting can be left as is, day or night. Night time temperature is controlled centrally. If there is a cold draught from the inlet unit, this can be set to a higher temperature at the thermostat next to the door. Press the present button (comfort temperature 21ºC) and increase the inlet temperature (max +3ºC). The absent/present button ensures there is no additional heating of the room when switched off (absent). The inlet temperature then drops to the centrally set temperature (approx. 18º). The inlet unit remains active.
- Working in a confined spaceThere are confined spaces (such as basements) in various UT buildings. The technical systems of the buildings are often located in such spaces. These spaces need to be accessed from time to time for maintenance, malfunctions, inspections and installation work. The Facilities Services Centre has a policy in place that states that only the Facilities Services Centre is allowed to access these spaces and install - or have third parties install - systems there. Deviations are only possible under certain conditions and in exceptional circumstances, when there is no alternative. For instance, users of the building have placed specific equipment in the basement for research configurations in a number of circumstances. The user is then responsible for this equipment. From the perspective of safety, it is important to make clear agreements about accessing and performing work in these spaces, as these spaces are often considered confined spaces to which specific agreements apply.
