Sending mail and parcels (External)
Submitting external mail
- External mail is collected by your department’s secretary in the colored mailbag of your department.
- Submit this mailbag at the Service Desk of your building.
- Mail is collected on Monday, Wednesday, and Friday mornings. After collection, the mail is immediately sent to the external mail processor.
⚠️ Important: Always keep internal and external mail separate. Only external mail may be placed in the external mailbag. Make sure the mail is neatly aligned (all addresses facing the same way).
Delivery time
- Mail submitted at the Service Desk before 10:00 on Monday, Wednesday, or Friday will be processed the same day and forwarded to the external mail processor.
- Do you have an urgent shipment? Then you may submit it directly to the Central Mailroom on other working days. If delivered before 14:00, it will be shipped the same day.
Large mail batches
- Batches of 500 items or more must be registered in advance, so the external mail processor can schedule them.
- Not registered? Then the Central Mailroom cannot guarantee that the shipment will be processed the same day.
Addressing
A clear and complete address prevents delays. Please use the preferred standard format:
- Top lines: name, company, contact person, department, room number (if applicable).
- Next line: street name + house number or P.O. Box number.
- Bottom line: postal code (4 digits + 2 capital letters, with space) and city name (in CAPITALS, separated by 2 spaces).
👉 Without a postal code, delivery may be delayed. Dutch postal codes can be found at www.postcode.nl.

The same rules apply to external mail as for private shipments:
