OSIRIS is the student information system in use at UT.
This page explains the diverse processes and tools in the Osiris Lecturer/Supervisor module. (There is also a separate Osiris Backoffice, only used by educational support staff, where modules differ based on staff roles.)
Study life cycle
This section will show you various possibilities for registering a study life cycle in OSIRIS (from study programme to graduation). At UT, we use the TOM 2.0 educational model for bachelor's studies.

Which information is needed to compose a study programmE in Osiris?
- Final curriculum:
- Course information per module: Which type of module? What are the study units per module? What is the amount of EC per study unit?
- Are there any possibilities to compensate within the study programme or study unit?
'Dummy-course'
For each (type of) regular module is a ‘dummy-course’ created. This ‘dummy-course’ is a course without any EC (0 EC). This course will be used for:
- Module name on the diploma supplement or on a study progress overview;
- Canvas-course: there is only one Canvas-course per module*;
- STAR programme**: when a student participated in a module which is part of the STAR programme, this will be registered on the dummy-course.
* There are exceptions possible for continuous learning or (elective) courses shared by studyprogrammes.
** A STAR programme is an excellence-programme in different modules for talented bachelor students (B-COM, B-IBA, B-ID, B-MST, B-PSY).
Compensation
The system will automatically calculate the compensation, if the compensation is set in Osiris. However, the possibilities to arrange compensation in Osiris are limited. Compensation can be arranged on two levels:
- In a study programme:
- Compensation within a coherent or mixed module***;
- Compensation within one study year***;
- Compensation in multiple study years.***
- In a study unit (course code):
- Compensation within (composite) tests;
- Compensation within an integrated module.
*** It is not possible to combine every option of compensation in Osiris, please consult with a key user for the possibilities.
Study Units - Course Codes
A course code will be automatically generated by Osiris. The first numbers of the course code are equal to the study year of creating. For example, in study year 2020-2021 all new course codes will start with 2020xxxxxx. When there are no changes in the study unit, the course code will be used beyond study years (see: ‘When do we need to create a new course code in Osiris?).
To create a new study unit / course in Osiris, please use the form below. The filled form can be send to the key user Osiris of your faculty.
Which information is needed to create a course code in Osiris?
The following information is needed per study unit:
- Name of the study unit;
- Contact person / examiner
- Amount of EC
- Starting block
- Quartile 1 = 1A
- Quartile 2 = 1B
- Quartile 3 = 2A
- Quartile 4 = 2B
- Year
Which information is needed to finalise a course code in Osiris?
- Instructional modes - obligatory attendance?
- Assessment plan:
- Per (composite) test: Name - Contactperson - Minimum Grade - EC - Weight - Grading scale (1-decimal or Pass/Fail)

- Module content
- Lecturer(s)
- Prerequisite knowledge/Required prescience
When a course code is finalised:
- The course is visible in Osiris course catalogue;
- The student can enrol in the course (in the registration periods);
- The course is visible at the 'people page' of the lecturers.
When do we need to create a new course code in Osiris?
- When you change the name of the study unit;
- When you change the amount of EC of the study unit;
- When you change the course type of the study unit.
- The course type will define whether test results are shown on the diploma supplement or not.
Register for Study Units / Modules
Bachelor students can register themselves for modules / study units in Osiris Student. The standard procedure to register for a (part of a) module is to register by 'Exam Component'.
If a student can not find a specific study unit via 'Exam Component', they can use register by 'Course Module'.

Results
Simultaneously with the start of TOM 2.0, in study year 2020-2021, the final grades of study units will be rounded to whole and half grades (except the 5.5). These final grades will be automatically calculated by Osiris using the weighting per test within the study unit.
which types of results are available in Osiris?
- Test result: test grades registered by the exam office (grading scale: 1-decimal or Pass/Fail)*
- Final grade: Calculated by Osiris based on the test results and the weighting per test. On this basis the EC per study unit will be awarded.
- Course grade: The automatically calculated result can be overruled by a course grade
* When only one test grade is registered in Osiris, the test result will lead to the final grade of the study unit.
How will final grades be rounded of to whole and half grades?

Binding Recommendation (BSA)
The new educational model TOM 2.0 leads to changes in the registered results in Osiris. What are the effects of these changes to the automatically calculated binding recommendation in Osiris?
- Starting from study year 2020-2021 Osiris will calculate a positive final advice from 45 EC. The first pre-recommendation will calculate a positive advice starting at 15 EC and for the second pre-recommendation Osiris will calculate a positive advice starting at 30 EC. Corrections to these calculated advices are still possible.
- First pre-recommendation: December
- Second pre-recommendation: March
- Final advice: August
- To calculate the binding recommendation, Osiris will use the final grades on study units. Test-results can not be used in the automatic calculation in Osiris, because of the complexity of TOM 2.0. Additional, the results of the dummy-course do not have any effect on the automatically calculated advice.
- The mail attached to a undetermined (neutral) pre-recommendation is adjusted and therefore usable in more situations.
- In Osiris it is not possible to use specific programme requirements in the automatically calculated advice (for example a student has to obtain 3 of the 4 mathematics courses). Those additional requirements have to be checked manually by the educational staff.
- According to the EER 2019-2020 (article 6.4 – 2), students who stopped their study before 1 February 2020 and re-joined their study in September 2020, are seen as first year students. They will start with a new study programme in Osiris.
- Please note: Previously obtained credits on study units (before 1 September 2020) are not automatically calculated in the binding recommendation.
Graduation
A new format of the study programme will be used in Osiris, according to the educational model TOM 2.0. This new format results in a new approach to arrange the diploma supplement.
There are three types of modules:
- Integrated module: Test results are shown on the diploma supplement
- Coherent module: Test results are not shown on the diploma supplement
- Mixed module:
- Test results of the integrated part are shown on the diploma supplement
- Test results of the coherent part are not shown on the diploma supplement

Osiris Course Entry
Osiris Course Entry (Dutch: onderwijscatalogus) is a UT-wide module for entering course information in Osiris, including tests, aims and content, and other course details. Course information may vary per academic year, therefore the information will be requested each academic year.
The primary purpose of Osiris Course Entry is to streamline the course management process and ensure the right information is available for students in the Osiris Course Catalogue. The standard procedure for requesting course information consists of two steps: providing and checking. This process will start each quartile.
Step: Provide course information
This step is assigned to the lecturer who is responsible for providing / adjusting course information into Osiris (role: Information). In Osiris, the course information is registered per academic year. You will receive an e-mail if you have tasks waiting.
Follow the steps below to provide the course information in Osiris Course Entry:
- Go to Osiris Course Entry: https://osiris.utwente.nl/osiris_cursusinvoer, use your UT-account to log in.
- Click on 'Courses' (Cursusaanbod), here you will find an overview of the courses assigned to you.
- Double click on the course you want to provide information for, an overview of this specific course is shown.
- Click on 'Details' for one of the sections to adjust the course information.
- Use the tabs at the left side of the pop-up to switch between sections
- When you have provided / adjusted all the course details, click on 'Approve current step'
- After approving, the process moves forward to a colleague for the next step: 'Check updated course information'.

Step: Check updated course information
This step is assigned to the lecturer who is responsible for checking the updated course information in Osiris (role: Check). In Osiris the course information is registered per academic year. You will receive an e-mail if you have tasks waiting.
Follow the steps below to check the updated course information in Osiris Course Entry:
- Go to Osiris Course Entry: https://osiris.utwente.nl/osiris_cursusinvoer, use your UT-account to log in.
- Click on 'Courses' (Cursusaanbod), here you will find an overview of the courses assigned to you.
- Double click on the course you want to check the information for, an overview of this specific course is shown.
- Click on 'Details' for one of the sections to check the detailed course information, a green dot will appear if the information has been updated.
- Use the tabs at the left side of the pop-up to switch between sections
- When you have checked all the course information, click on 'Approve current step' or 'Disapprove current step'
- Once approved, the course information is sent to the back office of Osiris, and the key users will finalize the course.
- After disapproving, the process will return to the previous step 'Provide course information' and reassigned to your colleague

FAQ
I would like to offer a new course, what should I do?
Please contact the study programme coordinator. A new course will be created in Osiris and filled with the 'core information' (course name, number of EC, quartile and lecturer roles). After that, the course will be available in Osiris Course Entry to provide detailed course information.

What should I do when I accidentally edited course information?
Unfortunately, once edited (and saved), it's not possible to go back to the original information of the course. To recover the original information, you can:
- Search the course information of last academic year in the Osiris Course Catalogue
- Contact the key users; the previous course information is stored in the Osiris back office.

What will happen once the course information is provided and checked?
Once the course information is approved, the key users will verify the course information. If everything is correct, the course will be finalized.

Use this filter to search for (a) student(s) in Osiris Lecturer. The fields (red numbers) are described below:
1. Student active? Is the student currently enrolled for an educational programme?

Osiris lecturer (grades)
In this section, you will find all the information about Osiris Lecturer (Grades) and how to register, submit and sign grades. Osiris Lecturer (Grades) is a UT-wide module to make entering grades in Osiris easier and more efficient. The module has been evaluated by lecturers and configured based on their experiences. There are two roles in Osiris Lecturer (Grades): ‘Lecturer’ and ‘Examiner’. Lecturers and examiners can easily register grades in Osiris Lecturer (Grades), manually or by uploading an Osiris, Canvas, or Remindo file, among others. Only the role of ‘Examiner’ can sign grades.

0. At the start of the course
Create a participants list
1. Go to http://osiris.utwente.nl/docent, use your UT-account to log in to Osiris Lecturer.
If you are a lecturer / examiner for multiple faculties, you need to change to the corresponding faculty of the course (at the upper right corner of the page).
2. Go to the menu 'Grade' (Resultaat) and click on a course/test you want to create a participants list for.
3. Download a participants list (Excel-file) via 'Actions (Acties) > Create file (Maak bestand)'
List of extra time students
To see the number of extra time students in the course/test, you can use the filter option 'Extra time students'
1. Go to http://osiris.utwente.nl/docent, use your UT-account to log in to Osiris Lecturer.
If you are a lecturer / examiner for multiple faculties, you need to change to the corresponding faculty of the course (at the upper right corner of the page).
2. Go to the menu 'Grade' (Resultaat) and click on a course/test you want to see the number of extra time students for.
3. Use the drop down menu in the left side of the screen. Select 'Extra time students (Faculty)' and click on 'Search (zoek)'
At the right side of the screen, the (number of) extra time students will be shown.
To go back to the full participants list, please select the filter 'Search result - register (Faculty)' / 'Zoek resultaat - invoeren (Facultair)' and click on search. All registered students for this test will be shown again.

When to use a Canvas-file to register grades?
For test results that are already available in Canvas, you can use a Canvas-file to register the grades in Osiris Lecturer (Grades).
Please note: the Canvas-to-Osiris-Tool can not be used for 'bonus-tests'.
How to use a Canvas-file to register grades?
>> 1. Download an Excel-file from the Canvas Gradebook (select 'Export Entire Gradebook').
Close the Excel-file from Canvas before opening the Canvas-to-Osiris tool
It is not possible to convert the grades 'complete' / 'incomplete' to 'P' (pass) / 'F' (fail) with the help of the Canvas-to-Osiris-tool.

For test results that are based on a Remindo Exam (digital test application), you can download a Remindo-file from Remindo to register test grades in Osiris Lecturer (Grades).

In Remindo: Go to Results > Analysis > Select a specific test moment > Perform an action: export as Osiris Text file (select SIS ID as user identifier)

When to register your results manually?
To register the test results for one or a small group of students.

You can register grades for a resit in Osiris Lecturer. To search for the resit please change the value of the search field 'Test occasion - Opportunity' into 2 and click on 'search'.
When loading grades into OSIRIS Lecturer 'errors' and 'warnings' can be displayed.
- Warning - You must actively ignore a warning (click on 'ignore warning' / 'waarschuwing negeren'). Otherwise, the registration of grades is not saved.
- Error - an error should be solved before you can continue with your current process.
If you are not able to solve the error yourself, please contact the exam office of your faculty.
2. Save, submit or sign grades
CHOOSE YOUR ROLE AT THE COURSE:
Lecturer
After entering the results as a lecturer of a course, you can Save and Submit results in Osiris Lecturer.
Save
When you press 'Save':
- The entered results are saved for later use;
- It is still possible to change your entered results;
- The results are not yet visible for students;
- Other lecturers/examiners of the course can see the saved results, but only you can change these results.
Before an examiner can sign (and finalise) the results, you must submit them.
Submit
The final step you have to take as a lecturer is submitting your grades. After submitting, the examiner of the course/test can sign the grades.
How to submit your grades?
1. Go to the menu 'Grade' (Resultaat) to submit your grades. Click on a test you want to submit results for.
2. Make sure the grades are entered.
3. To submit all grades that have been entered, click on 'Submit to be signed' (Indienen voor ondertekening)
Note: You can also select students individually (use 'Make selection' (Maak selectie)) for whom grades should be submitted.
4. On the next page you need to confirm the submitting of the (selected) grades, by clicking 'Confirm submission to be signed' (Bevestig indienen voor ondertekening)

When the grades are 'Submitted':
- The submitted results are not yet visible for students;
- The examiner can now sign (finalise) the grades;
- Submitted grades can only be changed by using the three dots and click on ‘correct grades’ or ‘remove grades’. This is only possible until the examinator signed the grades.
Examiner
After entering the results as an examiner of a course, you can Save and Sign results in Osiris Lecturer.
Save
When you press 'Save':
- The entered results are saved for later use;
- It is still possible to change your entered results;
- The results are not yet visible for students;
- Other lecturers/examiners of the course can see the saved results, but only you can change these results.
Before students can see their results in Osiris, you must sign them.
Sign results
The final step you have to take as an examiner is signing your grades. After signing the grades, the grades are visible for students in Osiris.
How to sign your grades?
1. Go to the menu 'Grade' (Resultaat) to sign your grades. Click on a test you want to sign results for.
2. Make sure the grades are entered.
3. To sign all grades that have been entered, click on 'Sign' (Ondertekenen)
Note: You can also select students individually (use 'Make selection' (Maak selectie)) for whom grades should be signed
4. On the next page you need to confirm the signing of the (selected) grades, by clicking 'Sign electronically' (Elektronisch ondertekenen)

When the grades are 'Signed':
- The signed results are visible for students in Osiris;
- Corrections on grades can only be made by the lecturer who registered the results.
Sign results - submitted by lecturers
The final step you have to take as an examiner is signing the grades. After signing the grades, the grades are visible for students in Osiris.
How to sign your grades?
1. Go to the menu 'Grade' (Resultaat) to sign your grades.
2. Instead of navigating directly to the test, first click on 'Pending' (Wacht op afhandeling) in the top right corner of the screen. You will now see all grades submitted by other lecturers for several courses / tests.
3. To sign all submitted grades, click on 'Make selection' (Maak selectie). Use the check boxes to select the test moment(s).
4. Click on 'Sign electronically' (Elektronisch ondertekenen) to sign the submitted grades of the selected test moment(s).

When the grades are 'Signed':
- The signed results are visible for students in Osiris;
- Corrections on grades can only be made by the lecturer who registered the results.
Tip: Use the report 'Matrix Grades' to create an overview of grades per test and the calculated end grades of the course

If you are a lecturer / examiner for multiple faculties, you need to change to the corresponding faculty of the course (at the upper right corner of the page).
When loading grades into OSIRIS Lecturer 'errors' and 'warnings' can be displayed.
- Warning - You must actively ignore a warning (click on 'ignore warning' / 'waarschuwing negeren'). Otherwise, the registration of grades is not saved.
- Error - an error should be solved before you can continue with your current process.
If you are not able to solve the error yourself, please contact the exam office of your faculty.
Benefits
By using Osiris Lecturer (Grades), you will spend less time, have more control, and students can see their results sooner as the lecturer can enter the grades directly into Osiris Lecturer. If you have the role of ‘Examiner’, you save time by having digital formal approval in Osiris instead of having to sign the grade list and send it to the Examinations Office. Both ‘Lecturers’ and ‘Examiners’ can create up-to-date lists of registered course participants in Osiris and can view the approved results in Osiris. There are fewer steps in the process, so there is less risk of errors.

How can I register grades for a resit/second test opportunity?
1. Go to http://osiris.utwente.nl/docent, use your UT-account to log in to Osiris Lecturer.
2. Go to the menu 'Grade'
3. Use the selection filter/search options on the left side of your screen.
4. Change the value of the field 'Test occasion - Opportunity' into 2
5. Click on 'Search'. The second test opportunities will be shown at the right of the page.
6. Click on a specific test to register grades.
Which roles can register results?
You can register results via Osiris Lecturer (Grades) wihen you have the role of Lecturer or Examiner for a course.
Why can't I register the grades for a specific course?
This could be, because of one of the following reasons:
- You are not yet registered as a lecturer / examiner for this course in Osiris. Please contact the exam office
- For some specific courses the grades can not be registered in Osiris Lecturer (Grades). This concerns the following courses: capita selecta, theses, internships.
Is it possible to correct a signed result via Osiris Lecturer (Grades)?
Yes, that is possible up to 40 days after signing the result in Osiris Lecturer (Grades).
Please note: the lecturer / examiner who has entered the result, is the only one who can correct the result.

2. Go to the menu 'Grade'. Choose the test, you want to correct a result for
