TimeEdit is the planning and timetabling system of the University of Twente.

It is used to schedule educational activities and events, view personal and course timetables, and reserve project rooms across campus. 

Issues with the Outlook iCal synchronisation from TimeEdit

At this moment, the iCal synchronisation between TimeEdit and Outlook is not working properly. As a result, timetable changes may not appear, or may appear incompletely, incorrectly or with a delay, in Outlook calendars.

Urgent advice:

Use TimeEdit as the sole and authoritative source for the timetable. Check the timetable directly in TimeEdit.

We cannot currently guarantee that changes will be transferred correctly or in full to Outlook. Furthermore, it is not yet known when this issue will be resolved. We are actively investigating the problem and will keep you informed of further developments.

Can I synchronise a timetable with Microsoft Outlook in TimeEdit?

Yes you can subscribe to a timetable in the TimeEdit Viewer. This can be your own timetable (for example as a student or lecturer) or the timetable of someone else, such as a lecturer whose schedule you manage.

The timetable can be synchronised with Classic Microsoft Outlook and will be added as an additional calendar. (More information about how to recognise the Classic Outlook on this Microsoft information website).

Please note: when others have access to your Outlook calendar, they will not see the activities from this subscribed timetable.

1. Select in the TimeEdit Viewer a timetable and a timeperiod (Block, Year).

2. Click 'Subscribe' and choose 'Relative 4 weeks' (it will show your schedule for four weeks ahead) or the timeperiod you selected before.

3. Copy the link by clicking 'Copy' or click 'Subscription iCal' (in that case go to point 5 below)

4. Go to Microsoft Outlook Calendar and add a Calendar from internet (when you chose to copy the link)

Paste the copied link and click OK (proceed to 6)

5. When you chose 'Subscription iCal': Select the Classic Outlook. Note that only Classic Outlook works properly at the moment as we know. Other calendar applications may have trouble synchronising.

  • Click 'Choose application'

  • Doubleclick 'Pick an app'

  • Choose the Classic Outlook to synchronise with.

6. Click yes

7. The calendar will be visible as an extra calendar that will be synchronised, so when changes are made to the schedule this changes will be visible in this added calendar.

How can I integrate a timetable into my personal calendar?

Note: this downloaded Calendar will not be synchronised! 

Using the following steps, you can integrate an educational timetable or personal schedule from the TimeEdit Viewer into your personal Calendar.

Go to 'Download' and click iCal, an .ics file will be downloaded. 

Click on the downloaded iCal file

Select an app to open this .ics file

You may receive a security warning, click 'yes' to continue.

Choose Import to integrate this schedule's activities into your Calendar.

I have integrated a timetable into Outlook. How can I remove these activities?

Removing Integrated Activities from an iCal File in Outlook

  1. Manual Deletion: After downloading and adding an iCal file to your Outlook Calendar, you may need to remove the integrated activities. Typically, this requires deleting each activity one by one.
  2. Faster Method: Go to View > Change View > List in Outlook. In List mode, you can filter and select multiple activities at once, allowing you to delete them more efficiently.

I get an error message when I want to subscribe to a schedule

When you subscribe to a schedule in Outlook, you might see an error message. Despite this, the schedule will still be added to your calendars.

My Calendar subscription does not synchonise, what can I do?

First

  • remove the calendar subscription and subscribe again, make sure to choose 'subscribe' and not the 'download' option. Choose the right timeperiod.
  • check which version of Outlook you use. Only Classic Outlook synchronises properly at the moment. Microsoft is still developing the new Outlook and Outlook App and this functionality stopped working unfortunately. It is not clear when this problem will be fixed by Microsoft.

Can I only subscribe to my schedule for 4 weeks?

The TimeEdit Viewer displays the schedule for the time period you select.

When subscribing, you have two options:

  1. Relative 4 weeks: This option shows your schedule for the next 4 weeks.
  2. Custom Time Period: Use the dropdown menu to select the same time period you chose earlier (e.g., a block or another selection from the calendar).

How to search in the schedule with a combination of objects?

When you want to add multiple objects such as a study programme and a course, then use the separator + between the objects to make it both visible in the schedule.

 The separator must be between the two objects, as in the example below.

Is the 'show available time within time interval' filter not working?

It is working, but will only make a selection of rooms that have no reservations in them in the timeslot. When selecting a timeslot out of opening hours it will show those closed rooms as available, even though they are not.

The problem has been reported to the supplier.

I have an Utwente X-number account, can I use TimeEdit?

When you have an Utwente External Account (X-number) you can use the 'Student' entrance of the University of Twente TimeEdit page to view Schedules, Reserve projectrooms or use the Hallviewer.

How do I remove holidays in TimeEdit Viewer or Calendar subscription?

When you don't want holidays visible in your View or Calendar subscription of TimeEdit uncheck the 'info reservations' (before subscribing to a schedule).

When logged in to the TimeEdit Viewer:

1. go to 'Customize' in the upper right corner of your screen.

2. Click Reservations

3. Uncheck 'Info reservations' in the Content>Show additional reservations section.

I have reservations in my calendar subscription that say 'Inforeservation'

Inforeservations are created in TimeEdit to highlight Public Holidays and collective closure in the schedule.

We have made a feature request to make it possible to show only the title of the inforeservation (so without 'inforeservation) but unfortunately, this has been rejected by TimeEdit.

MyUT app shows different information than TimeEdit Viewer

When there are differences in the displayed activities between MyUT and the TimeEdit Viewer, or if you are missing activities in MyUT that do appear in the TimeEdit Viewer, please contact M&C via myut@utwente.nl

Where are the instruction video's for Staff?

The instruction video's for Staff members are similar to the ones for students. In TimeEdit, just go to the 'Staff' section in Viewer and you will find the Schedules and Reserva a projectroom as well.

I get an 'Access Restricted Code 401' message logging into TimeEdit

When you have been an employee of UTwente previously and get a new employement contract with some time between the two contracts you might get an error message logging into TimeEdit again.

Access Restricted
Your account does not have the necessary permissions to access this resource. Please contact your administrator if you believe this is an error.

Code: 401

In that case, you can send a message to support-timetables@utwente.nl that contains your utwente emailadress and employee number (m-number) and we will activate your useraccount again.

TimeEdit Authorisation Form

With this TimeEdit authorisation form, you can request or revoke roles to TimeEdit for an employee or student assistant that needs extended rights.

The 'employee' is the person for whom you are requesting authorisation. You can not submit an application request for yourself, as it will be rejected.

Request information step by step

Who is authorised to submit requests?

  • Only the supervisor of the employee in question may submit a request to “grant or revoke extended rights.”
  • Requests to grant extended rights must be approved by individuals authorised according to the TimeEdit Authorisation Matrix.
  • The Administrator of TimeEdit is responsible for obtaining approval from the authorised approver for requests to grant extended rights.

 Procedure for requesting or revoking ‘extended rights’

  1. Complete the authorization form. Only one role may be selected per employee.
    Note: To grant extended rights in TimeEdit, the employee or student must have logged in to TimeEdit at least once prior to the request.
  2. Submit the form. The completed authorisation form is automatically sent by email to the Administrator TimeEdit.
  3. Processing the request. For requests to grant extended rights, the Administrator will seek approval from the authorised approver. Once approved, the Administrator will process the request.
  4. Feedback. After the request has been processed, the requester will receive a notification
