- Archival editingDefenition Each department and employee creates documents, in paper or digital form. Over time, a document loses its value and the question arises as to whether it should be preserved or not. The question then is what needs to be done with documents that are kept in a working place, a storage place or on a network disc. Archive can be contracted to select and destroy archives that have been formed, both paper and digital. Quality framework The retention periods for the various archive documents are laid down in the "Selectielijst Nederlandse Universiteiten" for Dutch Universities. The selection and destruction are thus done according to the legal guidelines, so that the archive management can be held accountable. Edited archives are kept in the archival storages of De Vrijhof building, using specially for archival material to be preserved. - Archive collection system AtlantisThe department Archive of LISA takes care of the official archives of the University of Twente. In order to manage and publish information on the archives and collections, the Archive and Collection Management System Atlantis is available. In this way the history of the University is made accessible. In Atlantis you can search for information on the archives and collections that are available in the Archival storages at the University Campus. - Automatic storage of archival recordsDefinition In the present day, we work almost digitally. There are various information systems at the UT in use in which all kinds of documents and data are stored. Part of these information systems provide archive-worthy information which must be kept for a long period of time or even permanently. Not every system is suitable for permanently storing information and/or documentation. JOIN is a certified document management system which is suitable for permanently storing information and/or documentation in an automatic way. If information to be stored in your system must be kept for a long or permanent time, it makes sense to ascertain whether a link with JOIN is possible. Quality Framework Archive likes to explore the possibilities of whether a link is desirable. - Destruction of archivesDescription The Archive Law provides that departments are also accountable for the destruction of archives which may no longer be kept. We offer our support to help you. For the destruction of archives, a procedure is used. By following this procedure, you can demonstrate that the destruction of archives is accountable. Quality framework The procedure as mentioned above is based on the legal frameworks applicable to the UT and are laid down in the Record Management Regulation. When selection is yet to take place, the costs of selecting archives will be charged.
- JOIN (UT Document management system)JOIN is the university Document Management System (DMS) for the digital recording and management of documents. Using JOIN, cooperation with colleagues is more efficient and information can be viewed at any time from any workplace or from home. By only authorising staff to access the information they need for their work, a safe working environment is guaranteed. In addition, JOIN meets the statutory archiving and destruction requirements, so the archiving or destruction – or, on the other hand, the retention – of documents is taken proper care of. Remarks: Working at home When working on a UT PC/laptop Join can be used for home office without limitations. When working on a non-UT PC/laptop some functionality will be lost because the Join Now Software is not installed. - Outsourcing your recordkeepingDefinition Recordkeeping is an important part of your business. You can choose to outsource your recordkeeping to Archive, so we can support the occasional or structural digitization (scanning) of documents (e.g. archival documents or files) for work processes, meeting cycles, faculty offices, committees or secretariats. Digitizing in JOIN of Sharepoint may consist of the following editing steps: Registering data from documents supplied (paper, digital) Possible preprocessing, scanning and scanning documents Developing templates for metadating, add metadata (additional data) and editing paper documents Contact For using this service, please contact Archive. - Support of project archiving 2nd and 3rd income streamDefinition In collaboration with other LISA product groups, Archive provides support to an owner of a "Project Archive-Portal" for archiving documents related to a research or education project. The aim of a Project Archive-Portal is making documents and files that result from 2nd or 3rd income stream research projects or educational projects available from one location. The advantages of this are (among others): storage of documents and files in one place, version management of documents and files, no paper and digital work archives in multiple locations (cupboards, P drive, M drive, C drive, laptop, smartphone, etc.), everyone has access to the same information. You can choose from various means of support: a. Outsourcing all support to Archive Archive, in collaboration with other groups within LISA, will build and maintain the website for your project as long as is necessary. LISA will be responsible for the entire management, maintenance and security of the “Project archive-portal” from inception to cancellation
