Erasmus+ Traineeship Scholarship

Erasmus+ Traineeship Scholarships are available for UT students who will do a traineeship (internship or graduation) abroad at a company, education centre, university, research centre, or other organisation in one of the participating countries. The value of your Erasmus+ Scholarship depends on your destination, with a monthly allowance varying between € 420 and € 540 in the academic year 2023-2024 (see Erasmus Scholarship Amounts).

Conditions

  • UNITED KINGDOM

Since Brexit, the UK is no longer taking part in the Erasmus+ programme 2021-2027 for individual mobilities within the EU.  UT will automatically offer these students a Twente Mobility Fund Scholarship or a Holland Scholarship (depending on availability) instead.

  • SWITZERLAND

Students who go to Switzerland on an exchange can not qualify for an Erasmus+ grant because Switzerland is not one of the program countries. Switzerland has the "Swiss - European Mobility Program", which is financed with a Swiss subsidy. Students must apply for the scholarship at the Swiss host institution. More information about this scholarship can be found on the Movetia website.

  • DOUBLE DEGREE STUDENTS

Double degree students can only apply for an Erasmus+ scholarship if they meet the following requirements:

    • The student is enrolled at UT during the entire mobility.
    • The programme abroad counts toward the students’ UT degree. (The EC’s obtained with the mobility must count for UT degree. If the EC’s count for the partner's degree, the scholarship can’t be granted by UT.)
    • The mobility can’t take place in the country of origin.
    • The student can’t apply for an Erasmus+ scholarship at the partner institution as well (Erasmus+ or Erasmus Mundus). A statement from the partner may be requested.
    • A student can only apply for an Erasmus+ scholarship if the mobility takes place at one host institution for at least 2 months. A mobility at more than one institution is not allowed.

All parties must sign all required forms before the deadline (not after your arrival at the host institution).  If your application is finished too late, you will no longer be eligible for a scholarship.

Top-ups

The Erasmus+ programme allows for (combinations of) top-ups as supplementary support to the Erasmus+ scholarship of a UT student who:

If you are applying for an Erasmus+ scholarship, you may qualify for this additional financial support. Please note, strict criteria for these top-ups apply. Read on for more details on the qualification and how to apply.

  • Green Travel

If you are planning to travel to and from your host institution in a sustainable way you may consider applying for a green travel top-up.  The aim is to lessen the carbon footprint caused by travelling.

    Specifications

You may receive a single contribution of 50 EUR as a top-up amount to your Erasmus+ scholarship. The green travel top-up is calculated in your second scholarship installment, upon the end of your mobility.

    How to apply

You indicate in your Erasmus+ scholarship application through Mobility Online that you wish to apply for this top-up and provide answers to the relevant questions in your application. In the Erasmus+ scholarship application process you will be asked to provide evidence of your green travel plans and to sign the Declaration of Honor prior to the start of your mobility. You’ll notice in the Grant Agreement that you have applied for this top-up.

    Assessment

The assessment of this top-up application is carried out by the UT’s Scholarship Office (CES-SOIR) and is based on the answers you provide to the relevant questions as well as the supporting evidence you provide, in accordance with the description under ‘How to apply”.

  • Fewer Opportunities

If you are experiencing financial barriers due to your socio-economic background, and/or a disability, the fewer opportunities top-up may contribute to reduce this financial barrier. Socio-economic barriers refer to costs that cannot be covered by the supplementary scholarship provided to you by DUO.  In case of a disability, you could for instance think of costs involved related to adapted travel, adapted housing, or additional insurance covering your specific needs during mobility.

    How to apply

In Mobility Online, you indicate in your ERASMUS+ scholarship application  you wish to apply for this top-up and provide answers to the questions in your application. You will be asked to provide evidence and to sign the Declaration of Honor prior to the start of your mobility. You’ll note in the Grant Agreement that you have applied for this top-up. In the process of application you are asked to provide evidence prior to the start of your mobility.

    A. Evidence of disability: a medical statement. This can be a copy of your medical record, or a statement from your doctor or general practitioner. The statement should confirm a disability and that it has impact on studies or international mobility. The statement does not need to specify which disability applies.

    B. Evidence of socio-economic disadvantage: a copy of your supplementary scholarship (not equaling €0.-) from DUO. In case a proof of a supplement grant cannot be uploaded, please upload a statement explaining your reasons why. Your apllication will be assessed by SOIR on the basis of your statement and the reasoning provided at that time.

Please note, for 2022 and 2023, the specific target group and criteria for this top-up have been defined at national level by the National Agencies in agreement with National Authorities in The Netherlands.  The medical statement and proof of your DUO additional grant are strict minimum requirements UT has to adhere to and cannot deviate from.

    Assessment of your application

The assessment of this top-up application is carried out by the UT’s Scholarship Office (CES-SOIR) and is based on the answers you provide to the relevant questions as well as the evidence you provide, in accordance with the description under ‘How to apply”. The assessment will be done in all confidentiality with respect to your privacy.

  • Inclusion Support

If you are a recipient of the fewer opportunities top-up for a disability, the UT’s Scholarship Office (CES-SOIR)  may consider supplementing your scholarship with an extra contribution.

The extra supplement aims to contribute to the extra financial costs made by participants with physical, mental or health related conditions to allow their participation in the mobility, and in preparatory visits and for accompanying persons (including costs related to travel and individual support), if justified and as long as it is not covered through budget categories "travel support" and "individual support".

    Specifications

This extra supplement consists of a contribution of one time €100.

    How to apply

You are not able to apply for this top-up in your Erasmus+ scholarship application in Mobility Online. If you experience costs directly related to your mobility experience as stated above, you may send an e-mail to studyabroad@utwente.nl  supported with evidence of ‘real costs’ made for your mobility.

    Assessment of your application

The assessment for this extra supplement is carried out by the UT’s Scholarship Office (CES-SOIR) and in accordance with the description under ‘How to apply”. The assessment will be done in all confidentiality with respect to your privacy.

Application procedure

All applications will take place via your registration in Mobility Online. In order to apply, each mobility must be registered via a registration form. Registration forms can be found via this link (see quicklinks at the bottom of the page). After you have registered the mobility (once), you can login to your Mobility Online environment. The application for a scholarship will automatically appear in your workflow.

You are required to take the following steps of your workflow before departure:

After you have finished the required steps and your scholarship has been granted, you will receive a provisional amount of 75% of the scholarship.  (The final amount is calculated at the end of your mobility, based on your true starting and end date, considering any changes that might occur to the dates during your mobility.)

During the mobility

The section ‘During the mobility’ in your workflow within Mobility-Online registers any changes to your mobility programme. Please have any changes to this section approved by your host institution and faculty contact person and signed by all parties or confirmed by email.

Extension of the mobility period

If you want to request an extension of your mobility programme abroad, send an email request to your faculty contact person and studyabroad@utwente.nl. This request has to be submitted no later than one month before the scheduled end date of your exchange programme. Only if a request for extension is done and approved before this deadline, the extension will contribute to a recalculation of your scholarship!

After the mobility

After you have finished these final steps, you will receive the remaining amount of your scholarship.
The final amount will be calculated based on the dates of your stay in the 'after the mobility' section of your Learning Agreement / Traineeship Certificate. If your dates have changed after your Grant Agreement was approved, the total amount will be recalculated along with the final payment.

Please be aware that if you fail to meet all of the scholarship requirements mentioned above (before, during and after the mobility), the UT reserves the right to cancel the allocation of the scholarship.

All steps are required based on very strict Erasmus+ guidelines. In case an application remains incomplete after your mobility, the advance amount will have to be paid back in full.
