2023 NEEDS Conference Photo Competition Terms and Conditions of Entry
The 2023 NEEDS Conference Photo Competition is operated by the 2023 NEEDS Conference, hosted by The Centre for Disaster Resilience at the University of Twente, Enschede, Netherlands.
The Competition is free to enter and open to any person that fulfils the competition entry requirements below.
Please read these guidelines and Terms and Conditions carefully. Your photograph should meet all the acceptance criteria listed in the Terms and Conditions and you must agree to these Terms and Conditions when submitting your photograph.

Entry Rules
All entrants must adhere to the following:
- Participants may submit only photographs they have taken themselves.
- Photograph entries must be submitted via social media on Twitter, Instagram or LinkedIn using the hashtag: #NEEDSphoto23 or, if you don’t have a social media account, can be emailed to needsconference@utwente.nl with the subject line “Photo Competition Entry 2023”.
- Submissions must be accompanied by the following information: description, credit, when and where the photograph is taken in no more than 100 words. For twitter this can be added using a thread option/reply to the posted image.
- It is the responsibility of the entrant to ensure all requested submission information is included, especially the social media hashtag #NEEDSPhoto23.
- All photos must be submitted in digital format.
- There is a maximum of one photo per registered conference attendee.
- Images generated by Artificial Intelligence (AI) are not eligible for entry.
- If the NEEDS Conference believes that a selected winner has failed to follow any part of these Terms and Conditions, they reserve the right to choose an alternative winner.
- Participants are solely responsible for any taxes, duties or levies incurred because of participation in the Competition or winning the Competition.
- The NEEDS Conference accepts no responsibility for entries lost, delayed, unusable, unreadable, misdirected or not received for any reason.
- The prize awarded to the winning entries is non-transferable and non-exchangeable. No alternative will be offered.
- All entries must be submitted by 11:59 PM, 10 October 2023 (CEST). The NEEDS Conference is unable to extend the deadline.
Entry Requirements – Conference Registration Requirements
- To be eligible to enter the competition you must be registered as a NEEDS 2023 Conference attendee by the close of submissions, 10 October 2023.
- The NEEDS Conference Organisers will check that the submitters of the 10 shortlisted photos are registered for the Conference.
- If you are considered a minor where you live (generally under 18 years of age) and you submit an entry to the competition you are confirming that you have received your parent’s/guardian’s consent to do so and that your parent/guardian has: i) read and, on your behalf, agrees to be bound by this agreement and ii) understands, agrees and shall be fully responsible for your submission
Judging and Selection
- A photo Judging Panel will be selected by the NEEDS Conference, and this panel shall decide which entries make the top 10 photos. These photos will be the shortlisted Finalist Photos.
- Entrants will be notified whether their photo has been selected as a Finalist Photo no later than 20 October 2023.
- The 10 Finalist Photos will be printed and displayed at the conference venue and all conference attendees will have the opportunity to vote for their favourite photo. The three most voted for photos and a Jury-voted winner will receive a prize.
- All decisions made in relation to winners will be final and not subject to discussion or review.
- All Finalist Photos will be displayed online on the NEEDS Conference website and through associated NEEDS conference and the Centre for Disaster Resilience communication platforms.
- Finalist Photos will need to provide access to a high-resolution image suitable for printing (minimum 300 PPI) in A2 size for physical display during the NEEDS Conference at the conference venue.
- The prize is non-transferable and non-exchangeable. No cash or credit alternative will be offered.
Copyright, Permissions, Rights and Use
- The Artist(s) will retain copyright of their work.
- By submitting your entry to the Competition, you confirm that you have full copyright and have obtained all releases necessary for the public exhibition of your work, for all people featured in your work.
- By submitting your entry to the festival you confirm you have received all required written permissions or oral (recorded) permissions.
- The NEEDS Conference and the NEEDS Photo Competition Organisers will not be held responsible for any breach of copyright or permissions arising from any entries submitted.
Entrants grant the NEEDS Conference and Centre for Disaster Resilience any and all rights required for distribution and public display of any photos, submitted text or other intellectual property rights that may arise from participation in the Competition, the prizes or related publicity, and hereby grant the NEEDS Conference and Centre for Disaster Resilience the irrevocable, perpetual, worldwide non-exclusive license to use, edit, copy, reproduce, distribute, translate, and publicly display or publish the entries (along with a name credit), for whatever purpose, in any form or medium, either on the NEEDS Conference and Centre for Disaster Resilience website or elsewhere, for promotional activities or events arranged by the organisers.
NEEDS Conference and the Centre for Disaster Resilience will not be required to pay any additional consideration or seek any additional approval in connection with such use. The credit ‘© Name of Photographer, NEEDS Conference Photo Competition 2023’ will be displayed each time the photo is reproduced. Use by third persons is prohibited.
The NEEDS Conference and Centre for Disaster Resilience holds non-exclusive rights to your photograph and you are permitted to have your photograph entered into other competitions while it is an entrant in the NEEDS Conference Photo Competition.
Withdrawal from Festival
Entrants wishing to withdraw from the Competition must inform the NEEDS Conference Organisers in writing via email before 10 October 2023 to needsconference@utwente.nl
Entry Statement
By submitting an entry in the Competition, you declare your understanding, compliance and acceptance of all terms included in this document.
You agree that you will not submit any content that is defamatory, indecent, obscene, racially, culturally or ethnically offensive, threating, hateful, discriminatory or abusive. The NEEDS Conference reserves the right to delete or reject or remove any content that in its sole discretion deems is in violation of any of the terms and conditions of this agreement. No correspondence and discussion will be entered in to.
By entering the Competition each entrant agrees to indemnify the NEEDS Conference and Centre for Disaster Resilience against all loss, damage, costs (including legal costs) or liability whatsoever arising out of or in connection with the entrant’s breach of these terms and conditions.
Declaration
I declare that:
- I have the authority to convey that all copyright and permissions necessary are secured.
- The exhibition of this work will not violate or infringe upon the rights of any person, firm or corporation.
- I have read and agree to the Terms and Conditions of Entry, and give permission for the NEEDS Conference and Centre for Disaster Resilience to use my photo as is stated and under the conditions stated in the NEEDS Conference Photo Competition Terms and Conditions.
- I am over the age of 18 or, if not, an authorised adult has approved my entry and agrees to these Terms and Conditions on my behalf.
