Step-by-step guide applying for facilities

After reading this Step-by-Step Guide, you will understand how to request and organise facilities in education and assessment.

  • Make an appointment with the study adviser associated with your programme. Tell them about your needs regarding education and assessment. What kind of support do you require? What helped you at a previous educational institution, and why?

    Some students prefer to start with a more general information meeting about studying with personal circumstances. For this, you are welcome to speak with either the study adviser or the student counsellor.

  • Together with you, the study adviser assesses whether the student counsellor needs to be involved, and if so, to what extent: intensively, in the background, or not at all. Sometimes the study adviser will advise you to make an appointment with the student counsellor yourself. This may be necessary, for example, when (potential) study delay requires advice on financial arrangements, or when specific tailor-made solutions need to be explored. In addition, if you feel that additional or different facilities may be needed, you are always welcome to contact the student counsellor directly to discuss this.

  • In the same meeting or in a follow-up meeting, the study adviser will discuss with you which accommodation(s) may be appropriate for your request. The study adviser will instruct you on how to apply for these accommodations.

    The Examination Board of your programme is the body that weighs the relevant interests and decides whether a facility is granted. In some programmes, your primary contact remains the study adviser if they are authorised to take such decisions on behalf of the Examination Board.

  • You follow the instructions and submit the accommodation request, or the study adviser may arrange this for you.

  • The Examination Board or the study adviser will inform you whether a facility has been granted and for what duration (you will often receive a formal document or decision letter). In the case of exam accommodations, additional actions may be required from you (e.g. collecting a pass).

  • The study adviser will inform you when the facility will be evaluated. Together, you will discuss whether the facility still meets your needs or whether anything has changed. The study adviser may again determine whether the student counsellor should be involved. You can also decide for yourself whether you would like to contact the student counsellor.

  • The study adviser will inform you if you need to reapply for an accommodation for the next academic year or for a subsequent programme.

Medical certificate

In order to qualify for support facilities, a medical certificate is required. This certificate justifies the application for facilities and schemes on the grounds of personal circumstances. If you think you need support facilities, bring a medical statement stating your diagnosis with you when applying for the facility. Furthermore, students must supply a translation of their medical (or dyslexia/dyscalculia) certificate stating the diagnoses in English.
