Lecture rooms

The university has a wide range of classrooms and lecture rooms. Large or small, rooms with flexible seating formats, rooms specifically intended for exams, lecture theatres and so on. 

The classrooms administrators of Facility Services provide support for users of these rooms so that their activities run as smoothly as possible. This includes tidiness and cleanliness in the rooms and halls, arranging the furniture, dealing with equipment faults, putting presentations on the computer and replenishing supplies such as pens, etc. Unless stated otherwise, this is the software used in the lecture rooms. Our rooms are equipped with technical facilities to stream or record lectures. More information can be found under Manuals streaming and recording

In order to make the use the classrooms as pleasant as possible for everyone, it’s important that users leave the rooms in a clean and tidy condition:

  • Would you like a different furniture arrangement? That’s no problem of course, but please return the furniture to the standard arrangement when you’ve finished.
  • Please return all the used materials (board wipers, chalks, whiteboard markers, waste bins etc.) to their designated places when you’ve finished.
  • Please throw away your waste.
  • Eating and drinking is not permitted in classrooms.

Is something not working properly? Then please inform the Service Desk of your building as soon as possible.

    1. The equipment consists of: Logitech web camera with a built-in microphone on a stand, a Stream Deck cabinet on the table, a digital whiteboard in the room, fixed computer (CZ-PC).
    2. The camera and microphone can be connected via USB to the CZ-PC in the room or the participant's own laptop.
    3. If available, the sound of the wearable microphone (Revolabs) can be used instead of the webcam microphone.
    4. The equipment can be used with Canvas Big Blue Button, ZOOM, MS-Teams, etc.
    5. Stream Deck Control panel (small black box on the table) available for selection and possible operation of the webcam when using CZ-PC.

    REMARKS

    1. Whiteboards (digital, standards, chalkboards) (cannot be read/seen by remote students (whiteboard is not connected))
    2. Sound quality webcam-microphone is sensitive and small noises like moving a chair and/or talking by on-campus students cause a lot of noise nuisance for the remote student!
    3. Streaming (and recording): online meeting via Canvas (Big Blue Button) or Zoom or MS-Teams.



    GENERAL REMARKS

    Be aware that hybrid teaching situations (and recordings) require more organisation and preparation than a 'standard' lecture.

    Also, pay attention to the privacy of the students; see website Privacy-and-tools/#recording lectures.

    One's own device (laptop, MacBook) can be connected to the system (cables on the teacher's table). The image from this device can then be projected into the lecture hall. The CZ-PC can also be used to project a presentation, video etc. in the lecture hall. The webcam can be connected to the CZ-PC as well as to your laptop (blue cable on the lectern).

    RECORDING

    Recording PowerPoint

    You can either use your own device or the CZ-PC to record your (live) lecture in PowerPoint. You can use this function to make a simple screen recording of your PowerPoint presentation with audio that goes along with each slide. See the TELT website for more information.

    Recording OBS

    The CZ-PC is used to record the audio and video from the webcam and the microphone. Afterwards, the recording is put on the desktop as a file. The camera can be placed in such a way that the desired image is recorded. It is possible to have a preview on the monitor. Only the image from the webcam is recorded. If a presentation or the writing board is also important, it must be in the webcam image; please note whether the text is still legible (think of size and contrast). The webcam has HD resolution, but this may not be sufficient to record a presentation properly.

    STREAMING (AND RECORDING)

    BBB (Big Blue Button)

    The CZ-PC is used to stream (and to record) the audio and video from the webcam and the microphone. BBB is started from Canvas Conference (via the web). By using the web version, the login credentials are not stored on the PC. Afterwards, the recording becomes available via Canvas.

    Zoom

    The CZ-PC is used to record the image and sound from the webcam and the microphone. Zoom is started on the CZ-PC with the web version. By using the web version, the login credentials are not stored on the PC. The recording becomes available in your UT Zoom account.

    Microsoft Teams

    The CZ-PC will be used to record the image and sound from the webcam and the microphone. MS Teams will be started on the CZ-PC with the web version. By using the web version the login credentials won't be saved on the PC. The recording becomes available in Sharepoint or Onedrive, but also becomes available in the meeting chat or channel conversation.

  • Use of own laptop for streaming/recording

    The rooms at the UT are equipped with a display unit (LCD screen, beamer/projector), a fixed PC (CZ- PC), a connection for your own device and speakers for the sound of your presentation, film etc.

    Larger rooms (from ca. 50 persons) also can amplify the voice of the lecturer with a Revolabs lapel microphone.

    The AV installation is controlled by a panel. In most cases, this is a button panel with 10 buttons. In some halls, the panel has been implemented as a touch screen (Waaier, Technohal, NoordHorst).

    If you want to use your laptop for streaming and/or recording you can use the Logitech webcam  and the Revolabs lapel microphone (if available).

    STARTING UP THE SYSTEM

    • Connect the laptop using the Kramer spider cable so that your image from the laptop is paired with the presentation screen. This spider has a connection for USB-C, HDMI, DisplayPort and Thunderbolt/mini DP. Then connect the blue or black USB cable from the webcam to your laptop.
    • Start up the AV system using the panel provided.


    • Fire up your laptop and the software (BBB, Zoom, MS- Teams) you want to use for streaming.
    • In this software, choose the camera you want to use: the built-in camera or the Logitech webcam.
    • Also, choose the desired microphone in the software: in this case, the webcam microphone is the least suitable. If available, choose the Revolabs wearable microphone (UMC202HD) or your laptop's built-in microphone. Use the software (BBB, Zoom, MS-Teams) as you normally would.


    SHUTTING DOWN THE SYSTEM

    • After the lecture, turn off the AV system using the panel.
    • Put the microphone into the charger, it fits one way.
    • Unplug your device and take it with you.
  • Use of lecture hall PC for streaming/recording

    The lecture rooms at the UT are equipped with a display unit (LCD screen, projector), a fixed PC (CZ-PC), connectors for your own device and speakers for the sound of your presentation, film etc. Larger rooms (from ca. 50 persons) also can amplify the voice of the teacher with a Revolabs wearable microphone.

    The rooms also have a webcam, which is operated by a separate button panel (Streamdeck) when using the CZ-PC.

    STARTING UP THE SYSTEM

    The webcam is first connected by inserting the blue or black USB cable into the connector on the desk or on the front of the CZ-PC. The system is then started by turning on the CZ-PC. The CZ-PC works with a universal lecture hall account and can therefore be used as-is. It is better not to log into Windows under your name as this may leave personal data on this PC.

    The AV system is then started up using the panel. 

    If you want to use your device for a presentation or demo, you can connect it using the cable (Kramer spider) that is on the desk/table. This spider has a connection for USB-C, HDMI, DisplayPort and Thunderbolt/mini DP.

    The signal from your device will appear on the presentation screen
    (takes precedence over that of the CZ-PC).

    In larger rooms, a wearable (lapel) microphone (Revolabs) can be used.
    This is standard in the charger on the desk.

    SHUTTING DOWN THE SYSTEM

    • After the lecture, switch off the AV system using the panel.
    • Close all web browsers on the CZ-PC. Transfer any (video) files to YuJa or USB stick and then delete them. Close the CZ-PC. Do not forget to take the USB stick with you.
    • Replace the microphone in the charger, fits in one way.
    • Disconnect your device and take it with you.
  • Yuja - Canvas - Streaming and recording

  • Microsoft Teams (streaming and recording)

    MS Teams can be used to stream and make recordings. With MS Teams, both camera images and presentations can be recorded directly.

    Camera recordings are made using the webcam on a stand in the hall. Make sure the webcam's blue or black USB cable is plugged into the connector on the table or on the front of the CZ-PC.

    The sound is recorded either with the webcam microphone or if present via the lapel microphone (Revolabs). The choice for this is fixed. The webcam can be moved at will so that the best possible recording can be made. Think about the privacy of the students.

    MS Teams runs in a web browser. The web version has the advantage that your credentials won't be left behind on the CZ-PC, the web version is similar to the app version but has some limitations, see below.

    Beforehand you can create a meeting or conference under your UT account with an invitation to all students you want to participate.

    Starting up the system

    The black button panel (Stream deck) is used to use MSTeams. Pressing the Teams button will launch a web browser to MS Teams on the CZ PC.


    To sign up, use your UT account (utwente.nl mail address) and your account password. After that there will be a request for Multi-Factor Authentication (MFA), so don't forget to bring your smartphone.

    In MS Teams, you can open your meeting and start the lecture. You will be able to share a screen from the CZ-PC through the web browser.


    You will need to have the content available on the CZ-PC (USB stick or something). With Open share tray, you get an overview of what you can share. If you choose to screen sharing your camera image will be lost. So the students won't see you anymore, but they can still hear you. When you end screen sharing you'll need to turn your camera on again in the MS Teams bar. When you use the option of opening a PowerPoint via Browse, you will still be on screen.

    Recording

    Recordings can be made via the menu ... | Start recording. For privacy reasons, you can choose to activate the option ... | Turn off incoming video. You do not see your slides or shared content in your teams web browser, but the recording neatly includes the shared content.

    You can stop recording by selecting ... | Stop recording.

    Shutting down the system

    You stop the meeting in a familiar way by activating the red phone hook. A possible recording will appear in the Chat window. The recording can be viewed using ” ... ”  and then Open with Sharepoint and can be downloaded to YuJa.

    Remarks about the web-version versus the app-version of MS Teams

    Unfortunately, the web version of MS Teams has some limitations:

    • no possibility to create breakout rooms.
    • no sound when sharing the screen (e.g. videos).
    • no background blur or adjustment.
  • Zoom (streaming and recording)

    Zoom can be used to stream and record. With Zoom, both camera image and presentation can be recorded directly.

    The camera shots are taken using the webcam on a stand in the room. Make sure the webcam's blue or black cable is plugged into the connector on the table or on the front of the CZ-PC. The sound is recorded either with the webcam microphone or if present via the lapel microphone (Revolabs). The webcam can be moved and adjusted so that the best possible recording can be made. Think hereby of the privacy of the students.

    Zoom runs in a web browser. https://utwente-nl.zoom.us/

    Beforehand you can create a meeting or conference under your UT account with an invitation to all students you want to participate.

    Starting up the system

    To use Zoom, the web browser Edge is started on the CZ-PC.

    To sign up, use your UT account (utwente.nl mail address) and your account password. After that there will be a request for Multi-Factor Authentication MFA, so don't forget to bring your smartphone. Go the planned meeting a schedule a new one.

    There is no Zoom application on the CZ-PC, so choose Join from Your Browser.



    Permit to use the camera and click Start Video in the lower-left corner to select the camera. If Zoom says it is already in use, close OBS (the  little circle on the right of the windows taskbar).

    Now you can start the camera, the “^ “next to stop video allows you to choose from multiple cameras, usually system or Logitech / BRIO works. Click on Join Audio by computer and give access to  the microphone. The “ ^ “ next to Mute allows you to select your microphone (Logitech for webcam mic or UMC202HD for Revolabs lapel mic).

    You can share a screen from the CZ-PC using the web browser. You must therefore have your content available on the CZ-PC (USB stick, etc.). The student sees both the presentation (large) and the webcam image (small).

    Recording

    Recordings can be made from the bar with the Record button. The button changes to stop / pause. Click it if you want to stop or pause. After the meeting is finished the recording is in the cloud. After a while, it will be available under your profile in the Recordings menu. You can stop the recording via ...

    | Stop recording. The recording shows the shared screen (large) and the webcam image (small).

    Shutting down the system

    You stop the meeting by clicking the red button End on the bar.

    Remarks about presenting from your laptop

    If you want to present a presentation or application from your device you can. Log into the same conference from your laptop. Make sure that the sound does not travel around, so mute the microphone on your laptop.

    You can then use the Share screen button in the middle of the bar to take over the presenter role and share the screen. If you also want to share the sound of a movie, you need to check the box (also share your sound) and then choose Share screen.

    To see the presentation etc. in the physical lecture you can connect the laptop to the large display.

  • Hybrid set-up basic scenario (with lecture hall PC):

    Steps to take when using only the lecture hall PC in a hybrid set-up. Follow the next steps:

    1. Start up the CZ-PC
    2. Use the cloud or usb-stick to upload your PowerPoint to the CZ-PC
    3. Start from the pc in the browser a conference meeting in one of the conference tools
    4. Share your screen in the conference tool to share your PowerPoint
    5. Your PowerPoint will automatically be shared on the digital screen in the lecture hall
  • Hybrid set-up Advanced scenario (lecture hall PC combined with own laptop)

    Steps to take when using the lecture hall PC in combination with your laptop in a hybrid set-up. Follow the next steps:

    1. Start up your laptop.
    2. Use your laptop for opening your Power Point presentation.
    3. Plug in one of the cables of the Kramer Spider in your laptop to share your content on the digital screen in the lecture hall (in presenter mode the notes of your PowerPoint will only be shared on your own laptop) for the on-campus students.
    4. Open a conference tooling on your laptop to start a conference meeting.
    5. Share your screen in the conference tool to share your PowerPoint with the online students
    6. Turn off your mic and webcam.
    7. Start up the CZ-PC.
    8. Join the conference meeting from the CZ-PC and use the webcam and sound of the lecture hall to provide ‘live’ image and sound (OBS camera, Logitech Brio. Sound: Revolabs, computer-sound or sound of webcam itself).
    9. Online students can click on the ‘CZ-pc participant’ to see live image of you in the lecture hall and can click on the PPT to focus on the shared PPT in the conference tool.
  • OBS (recording system)

    With OBS, recordings are made using the webcam on a stand in the hall. Make sure the webcam's blue or black USB cable is plugged into the connector on the table or on the front of the CZ-PC.

    The sound is recorded either with the webcam microphone or if present via the lapel microphone (Revolabs). The choice for   this is fixed. The webcam can be moved at will so that the best possible recording can be made. Think  about the privacy of the students.


    Starting up the system

    To use OBS, the black button panel is used. Pressing the OBS button starts OBS on the CZ-PC. The buttons on the panel also  change.

     


    The Preview button opens a window on the desk monitor that shows you the camera image from the webcam. This  allows you to position the webcam correctly so that you can record the desired image. Note: if you also want to record a presentation, this also has to be in the camera image, there is no  possibility to put your presentation directly in the recording.

    To start recording, use the Record button. The button start showing the duration of the recording. When finished stop the recording by using Stop record. The recording is now saved on the desktop with a date and time stamp. You can start and stop recording as often as you like, a new file is created each time.

    Shutting down the system

    When you have finished recording, use the Back button. The files of the recordings are on the desktop of the CZ-PC. You can transfer them to YuJa or on a USB stick. Afterwards please delete the files of the CZ-PC.

    Remarks/FAQ

    1. Streamdeck does not show the main screen, only a vague logo. After starting up the CZ-PC it takes a while (1 to 2 minutes) before all software is loaded and Streamdeck shows the main screen.
    2. Is there a red cross through OBS on the Streamdeck? Then OBS has been closed on the CZ- PC. Go to the Windows search window next to the Windows Start icon and key in OBS. The OBS Studio application will be found. Start it and then minimize OBS by clicking the - in the title bar.
    3. Webcam not found? It happens that the webcam is not found by the system. Then go to OBS on the toolbar of the CZ-PC and select the Logitech Brio camera under the heading Sources. You can see from the preview screen whether the system now has the right camera. Minimise OBS by clicking on the - in the title bar.
    4. The camera is in use by another application (message: Camera in use). E.g. MS-Teams or Zoom are already running via the web browser. Log out of Teams/Zoom and close the web browser. Close OBS (X in the title bar) and restart it as indicated at 2.
    5. Is the image smaller than the preview screen? Go to OBS on the toolbar of the CZ-PC and click on the camera image on the main screen. A red border will appear around it. You can use the vertices to drag the image to its maximum size. Then minimize OBS by clicking on the “ – “ in the title bar.
  • Big Blue Button – Canvas Conference (streaming and recording)

    Big Blue Button (BBB) can be used to make recordings. With BBB, both camera image and presentation can be recorded directly (camera is not recorded during screen sharing).

    Camera recordings are made using the webcam on a stand in the hall. The sound is recorded either with the webcam microphone or if present via the lapel microphone (Revolabs). The webcam can be moved and adjusted so that the best possible recording can be made. Please consider the privacy of the students.

    or black USB cable from the webcam is plugged into the connector on the table or on the front of the CZ-PC. BBB is started from Canvas.

    Starting up the system

    To use BBB, the black button panel is used. Pressing the Canvas button will launch a web browser to Canvas on the CZ PC.


    From the Canvas Conferences option (see https://www.utwente.nl/en/telt/online-lectures/live- streaming-lectures/canvas-conferences/) you can create the  setup for BBB. Create a conference with only yourself as a participant and Join the conference.

    Do the BBB microphone test (allow the use of the microphone). In case of a negative test choose for the Logitech/Brio microphone or for use of the Revolabs, choose the UMC202HD microphone. You can change your choice later via the telephone handset at the bottom of the bar.




    After that, activate the camera with the camera button at the bottom of the bar. (Share webcam), accept the access and choose the webcam which gives the (right) image [OBS camera, Logitech Brio], Start sharing. Via the same camera button, you can choose another camera during the session. First, close the current camera (Stop sharing) and then choose a new camera (Start sharing). 



    Recording

    Recordings are made with the button Start recording. While recording, BBB will select your presentation or the webcam if there is none.

    You can stop recording using the same button, which now shows a red dot and the duration of the recording.

    Shutting down the system

    You stop the meeting by clicking on the three dots at the top right of the screen and choose to temporarily stop the meeting Leave meeting or end End meeting. The recording will appear in the Concluded Conferences of Canvas after ending. In most cases a recording will take the same amount of time to process as the duration of the live session. 

    Remarks about presenting from your laptop

    If you want to present a presentation or application from your device you can. Log in to the same course and Join the same conference from your laptop. Make sure that the sound does not  start to echo, so mute the microphone on your laptop.

    You can then use the + in the lower-left corner to take over the presenter role and then use Share your screen (also on the bar) to share the screen. If you also want to share the sound of a movie you have to check the box (also share your sound) and then choose Share your screen.

    To see the presentation etc. on the large display you can connect the laptop with the Spider cable.

Software

The software on the computers in the lecture theatres requires the licences of the University of Twente. In general, the most recent software will be installed. New versions will be implemented after LISA tests during the next installation round (twice a year).

Support and repairs

Lecture room supervisors support the users of the lecture rooms for optimum realization of activities. The lecture room supervisor will assist you with the following:

  • Order and cleanliness in the lecture room
  • Arranging the furniture
  • Fixing problems with the equipment
  • Checking your wishes
  • Providing audio-visual support
  • Providing markers, chalk and other supplies

If you want to use a furniture arrangement that differs from the standard arrangement in a lecture room, you can contact Internal Service for assistance in realizing the desired arrangement. You can direct your request to the Service Desk of your building. When there is a problem with a computer, beamer, microphone, etc. contact the Service Desk in your building directly. They will send a lecture room supervisor to you as soon as possible, to fix the problem.

Minor repairs can be requested for all rooms. The Service Desk in your building is the first point of contact of the department of Campus & Facility Management. You can contact the Service Desk with all questions, remarks, defects, complaints, requests, etc. in connection with facility services. For any other questions regarding the Facility Department you can contact the secretary's office

Order and cleanliness

In order to allow everyone to make optimum use of the lecture rooms, it is important that you ensure the room is clean and tidy when you leave it:

  • Furniture must be returned to the original arrangement. A map of the arrangement can be found at the entrance to the room
  • All materials (board wipers, chalk, whiteboard markers, bins, etc.) must be returned to their intended locations after use
  • At the end of the lecture, any waste must be deposited in the provided bins or the waste collection points in the hallways. Consumption of food in the lecture rooms is not allowed
  • Any defects can be reported to the Service Desk of the building  

Reservations

Use of the lecture rooms for educational purposes is scheduled via the BOZ of the faculty. For other purposes, please contact the Booking Office.
