Website options & request

General guidelines

Websites are created in the content management system (CMS) of the UT, using the corporate identity of the UT. Exceptions can be made for study and student associations and in some situations for collaboration and projects. See the details below.

More information about the goals of this policy and possible exceptions can be found in the domain name policy (PDF file), point 5. This policy is only available in Dutch. The options on this page sum up this policy.

BELOW WE SUM UP ALL DIFFERENT TEMPLATES AND POSSIBILITIES THAT ARE AVAILABLE FOR UT WEBSITES.

Option 1a is the UT standard for everybody.

For institutes (and research groups within institutes) there is a special institute template available. For student associations and projects (in which the UT provides less than 50% contribution to the content) it is possible to make exceptions (such as options 3 a/b). 

The following overview illustrates all of the available options:

OPTION 1A: WebHare DEFAULT UT TEMPLATE 

The default UT template is available for all departments and projects at the UT. This so-called minisite has an own title at the top and its own menu on the left side. All components (header, footer, social media channels etc.) can be personalized within the possibilities that are offered by the UT template.

Advantages:

  • Simple: very simple to use and set up, no website knowledge necessary. 
  • Helpdesk/documentation/free courses at the UT to assist you
  • Findable: the website is easy to find on the web (meets all technical requirements and is continuously improved to meet all standards)
  • Style: updated to the new UT-style with a huge amount of possibilities for the creation of attractive websites
  • Mobile: fully optimised for the use on mobile devices
  • Connected to the UT news/event system (NEO) (add news from other UT sites with only 1 click)
  • Website analytics on request

Disadvantages:

  • Customisability within the possibilities of the UT-style, not possible to program features by yourself

OPtioN 1b: Webhare DEFAULT UT TEMPLATE with INSTITUTE STYLE

Same as the default UT template, but with a logo of the institute (MESA+, TechMed or Digital Society). Other elements of the website also use the color of the institute. Same advantages/disadvantages as option 1.

OPTION 1C: WebHare DEFAULT UT TEMPLATE in ITC style

Contains in general the same features as the UT template with black menu (option 1), with a couple of differences: white menu on the left, ITC colors instead of all UT colors, and the ITC logo next to the UT logo.

OPTION 1D: Webhare non-branding template: no UT logo, optional own logo

Same as options 1, but without UT logo and UT elements to offer a more neutral style. Only available for (student) associations or other projects/events/collaborations where the UT part is less than 50% and if in these cases it would be undesired to use the UT branding. This template is also available in a white ITC version with own logo.

Example

Available on either utwente.nl/project-name or own domain name. Use a utwente.nl/... version for higher ranking in search engines.

Advantages:

  • Simple: very simple to use and set up, no website knowledge necessary; you just upload your tekst, pictures and video 
  • Search engine optimalization: website is easy to find on the web (meets all technical requirements)
  • Style: UT logo and footer (blue links) removed to offer a more neutral style. Still the black white UT colours though. 
  • Mobile: fully optimised for the use on mobile devices
  • Connected to the UT news/event system (NEO) (add news from other UT sites with only 1 click)
  • The UT branding elements have been removed

Disadvantages:

  • Customisability within the possibilities of the UT-style, not possible to program features by yourself

Option 2: Wordpress blog in UT Style

See blog.utwente.nl/citadel for an example.

Option 3a: Webspace for student associations

Websites/webspace (including email facilities) for student associations is arranged by SNT (Student Net Twente). For details see www.snt.utwente.nl > hornet hosting. Example: www.inter-actief.utwente.nl

Option 3b: Webspace for employees, non-standard version

Web address and webspace on a UT webserver but without a website. This option is for projects or large events that need to design and build the whole website themselves, for example by using Wordpress or Joomla. Access can be arranged by m-number. Only available for congresses or large projects with other partners involved. Or for separate UT systems like Osiris, Canvas, timetable system etc.

Advantages:

  • Possible within *utwente.nl and with own domain name
  • Complete design and functionalities created by yourself

Disadvantages:

  • You need to have a knowledge and time to design/build everything yourself
  • No helpdesk available because you use your own system
  • You need to arrange search engine optimalization and findability of the website completly yourself (for utwente.nl/* this is arranged by the central UT webteam). 
  • Own resposibility to meet all privacy rules (GDPR) and accessibility requirements for government websites.

  • Standard 1 MySQL Database
  • Standard SSL/TLS Certificate included
  • Easy switching between several PHP versions
  • Easy management of a content management system (CMS, e.g. WordPress)
  • Daily backup (in case of disaster recovery)
  • Insight in statistics.

GENERAL URL STRUCTURE UTWENTE.NL

Websites in the UT content management system (CMS) Webhare start with

  • www.utwente.nl/nl/... [example: www.utwente.nl/nl/designlab] for the Dutch version and
  • www.utwente.nl/en/...[example: www.utwente.nl/en/designlab] for the English version. 

For departments or other units that are part of a faculty the structure is 

  • www.utwente.nl/nl/faculteit/eenheid [example: www.utwente.nl/nl/ewi/dacs]
  • www.utwente.nl/en/faculty/department [example: www.utwente.nl/en/eemcs/dacs]

Search engines like Google prefer this hierarchical structure for better findability.

ADDITIONAL SHORT URL

Additional short URL's are provided. Examples: www.utwente.nl/designlab or www.utwente.nl/researchgroup if available. You decide if this short URL points to the Dutch or English website. Other short URL's are also available on request (also use the form below).

EXCEPTIONS (SYSTEMS, STUDY ASSOCIATIONS, PROJECTS/COLLABORATIONS)

  • Systems have subdomains like canvas.utwente.nl, osiris.utwente.nl of webhare.utwente.nl. 
  • Study/student associations: associations with an own KvK registration in the Nederlands (or recognized by the Student Union) may use the UT services to create an own website like association.utwente.nl or association.nl/.eu/.org etc. The UT will arrange the URL/domain name for you. Please contact SNT to arrange your webspace.
  • Projects and collaborations: projects and collaborations that are important for the UT but for some reason cannot use the UT style can get a URL (****.utwente.nl or own www.projectname.nl*) together with some webspace. They can set up their own website, for example using Word Press. Please note: buiding an own website also means that you have to know how to implement
    • Privacy rules/GDPR requirements
    • EU accessibility rules for government websites
    • Technical search engine optimization and content search engine optimization (to be not blocked by Google)

If you are not familiar with these laws/regulations/best practices we suggest to use the default UT website in WebHare, which can be used with an own domain name and also with own logo. An additional advantage is that you get support for WebHare: you can call/email/chat or walk by if youhave any questions. Attending a WebHare course helps you to work more efficiently.

*Marketing & Communications decides, on behalf of the Executive Board and in deliberation with the deans and/or scientific directors concerned, if there is an UT interest in the present situation. Think about research collaborations in which the university participates as secretary and a domain name containing UTWENTE.NL is undesirable.

Details for option 1: Website in WebHare

For every own domain name we need a to create the email adresses postmaster@<domain>.nl and abuse@<domain>.nl. Who should receive the mails sent to theses adresses?

Do you have an own logo you want to use on that website? 

You can add your own image to the footer area if you have one.

Folders for news and events have to be created by the WebHare admins. Do you want them on your website? If you choose no, they can be added later.

Details for option 2: Wordpress Blog in UT style

The UT Wordpress blog is in UT style, but you can change some minor color/image settings in your blog later.

Details for option 3A: Webspace on a server for student associations

Through this form will only request the URL/domain name. For all other services like granting user rights, getting a SSL-certificate etc, please contact SNT directly: www.snt.utwente.nl. 

For every own domain name we need a to create the email adresses postmaster@<domain>.nl and abuse@<domain>.nl. Who should receive the mails sent to theses adresses?    

Details for option 3B: Webspace on a server for employees

IT department will provide the webspace. You will build your own template on that.

These users will get access to the webspace (web interface and FTP) and can install their own files, for example using WordPress or Joomla. 

For every own domain name we need a to create the email adresses postmaster@<domain>.nl and abuse@<domain>.nl. Who should receive the mails sent to theses adresses?  

For a SSL certificate (secure URL starting with https instead of http) please contact the ICT servicedesk (servicedesk-ict@utwente.nl).

Details for option 4: Short URL for existing WebHare page

Please note: short URL's are often attached to your pages/files in WebHare in your website, in most cases the index file of your website. Therefore: 

  • Do not delete the pages/files in WebHare that have short URL's attached to them. Otherwise the short URL will also be deleted.
  • Want to see what other or short URL's are attached to a page/file? Have a look at the URL History (right mouse button on the file) to see all attached URL's, also to add your own URL's. To download this full list for your website use the menu in the right upper corner.
