How to apply

If you are a student, staff member or PhD researcher needing an entry visa and/or residence permit, who wants to receive an offer for accommodation for the first year, please follow the steps outlined below to apply for furnished housing mediated by the UT:

  1. Check whether you are eligible for housing and request an application form.
  2. The housing officers make you an offer.
  3. If you accept the offer, it will be booked for you.
  4. You check in.
  5. When your contract ends, please do not forget to check out.

Step 1: Eligibility & Online housing application form

Students, staff members, PhD researchers and guests needing an entry visa and/or residence permit and international exchange students coming to the UT can apply for furnished accommodation by filling in the online application form for housing. You will receive a link to this form by e-mail after you have filled in the Offer of Admission, which will be sent to you by e-mail after you receive the admission letter for your studies. For Bachelor and Master students this is the Offer of Admission, and for exchange students this is the Learning Agreement. Staff members and PhD researchers can request an application form for housing.

Please return your Offer of Admission as soon as possible, so that we can provide you with a housing offer without delay.

Found alternative accommodation?

Send an email to and we will remove you from the housing database. This will be free of charge, as long as no booking was made for you.

Step 2: Offer

We aim to offer timely, appropriate and affordable accommodation for up to one year. When accommodation becomes available, you will receive an email providing you with the specifics of the offered accommodation (e.g. monthly rent and description of the accommodation) as well as the conditions of the offered contract. Therefore, it is important that you read this email immediately and carefully!

Responding to an offer

Unless stated otherwise, you have one week to accept or reject the offer made. You will be removed from the housing database if you do not reply or reply late. Refusing an offer will place you at the bottom of the list of applicants. In case you reject the housing offer made by the UT, you can still use our overview of external housing providers to find accommodation yourself. 

Step 3: Booking

If you accept the offered accommodation, we will book it for you and will send you a booking confirmation by email. This booking email will also provide you with information about the rent payment, signing the contract, and picking up the keys. Therefore, it is important that you read it carefully!

Booking cancellation

When you cancel a booking, cancellation costs will be charged (one month’s rent). We will confirm your cancellation by email.

Step 4: Check-in
  • Keys can be picked up 24 hours a day starting 12.00 (noon) on the starting date of your contract, if you comply with the payment conditions (below).
  • Your contract (Stadsweide apartments) or booking confirmation (ITC International Hotel) has to be signed immediately when picking up the keys. For on-campus accommodation, you have to sign your contract within five working days of your contract start date.
  • Students usually sign their contracts during the mandatory introduction days.
  • Your first bill includes a security deposit, one-time cleaning costs, and one-time administration costs (on-campus accommodation only).
  • For the Stadsweide Apartments and the ITC International Hotel, your first bill must be paid upon arrival.
  • For on-campus accommodation, your first bill can only be paid upon arrival if you arrive during office hours (see the de Veste website). Otherwise, your first bill must be paid before arrival in order for your keys to be available. You will receive an invoice from de Veste two weeks before arrival at the latest. Please note: if you arrive outside of office hours without making the payment in advance, you will be unable to retrieve your keys and have to wait until the next working day.

Paying Rent

On-campus: De Veste

Rent is paid in advance in monthly instalments and must be paid before the first day of the month. If you pay your rent by standing order through a Dutch bank account, your rent is transferred automatically at the end of each month. This way you can never forget to pay the rent on time. You can cancel a standing order at any moment.

Off-campus: Stadsweide / ITC International Hotel

Rent is to be paid on the 1st of the month, either in cash or by paying at the reception by credit card (MasterCard or Visa, not by American Express) or Dutch bank debit card (Maestro). You will receive an invoice on the first of each month.

Step 5: Check-out

Your deposit will be transferred back to your bank account upon completing the following formalities:

On-campus accommodation

  1. Make an appointment with de Veste for a final check of your apartment during the last weeks of your contract.
  2. Hand in your keys before 12.00 (noon) on the contract end date.
  3. Pay your last (rent) bill(s).

Off-campus accommodation (Stadsweide and ITC International Hotel)

  1. Hand in your keys before 12.00 (noon) on the contract end date.
  2. Pay your last (rent) bill(s).

Procedure & deadlines

Please read the information on this page carefully. For students starting in September: please take the introduction period 'Kick-In' into account when applying for accommodation. The introduction period takes place in the end of August and we advise you to apply for housing with a starting date of the rental contract of 16 August. 

Note: the UT merely offers a mediation service for housing. If you accept an offer for accommodation, you will sign a rental agreement with one of the local housing providers and will be subject to their rules and regulations.
