Retrieving Google Apps Mail in Gmail

To be able to retrieve your UT student mail from Google Apps with your own private Gmail account, you will have to follow the steps described down below.


  • This manual uses a consistent style of writing: references to text and buttons on screens are printed in italics, information that you have to enter yourself is printed in bold. 


Due to safety agreements made between the UT and Google, it is necessary to start with turning on the 2-step verification for your account.

Step 1: Settings of your UT Google Apps Mail

  • Log on to (make sure that you switch from your private Gmail to your UT Google Apps mail).
  • Click on the settings icon.
  • Click on Settings.

Step 2: enable POP access

  • Go to the tab Forwarding and POP/IMAP.
  • Select Enable POP for all mail.
  • Select Mark University of Twente Mail’s copy as Read.
  • Click Save Changes.

Step 3: Settings of your UT Google Apps Account

  • Click your profile image or mail address at the top right part of your screen.
  • Click My Account.

Step 4: 2-step verification settings

  • Click Sign in & security.
  • Scroll down to Password & sign-in method.
  • Follow the steps for turning on the 2-step verification.

Step 5: Setting the Application specific password

  • Make sure that your 2-step verification is turned on.
  • Click App passwords.
  • Click Select app.
  • Click Other (Custom name). The menu changes into an input field. Enter a name, for instance Student Mail POP.

Step 6: Settings of your private Gmail

  • Log on to your private Gmail (or switch to your private Gmail if you are already logged on).
  • Click on the settings icon.
  • Go to the tab Accounts.
  • Click on Add a POP3 mail account you own.

Step 7: Your UT mail address

  • Fill in your student mail address.

Step 8: Your account data

  • Fill in at username your full student mail address.
  • Fill in at password the just copied generated password.
  • Fill in at POP server
  • Select at Port 995.
  • Uncheck Leave a copy of retrieved message on the server.
  • Check Always use a secure connection (SSL) when retrieving mail.
  • Check Label incoming messages with a chosen label if this is desirable.
  • Check Archive incoming messages if this is desirable.
  • Click on Add Account.
