Account and login name, also for guests (incl FAQ)

Upon entering the UT, an account and an email address are automatically created for employees and students who are registered at the University of Twente. This e-mail address can also be used as a login name to log in to many ICT services of the UT.

Upon entering the UT, an account and a UT e-mail address will be created automatically.

If you are not satisfied with your e-mail address, can this be changed with good reason at the service desk ICT. It is checked whether the e-mail address complies with stated UT agreements and, in addition, attention is drawn to the risks of changing your e-mail address.

The provisioning of employee accounts is fully computerized within the employee information system managed by HR. Renewal of employee accounts who have left service, will be dealt with by the local HR officer. Should an ICT account (e.g. for email) be needed for a new employee before the latter enters service, this will also be dealt with by the local HR officer.

Login name

Upon entering the UT, an account and an e-mail address are automatically created. This e-mail address can of course be used for e-mail, but you can also use it to log in (login name) to many UT ICT services.

Change password

The procedure at the UT to change your password for employees is through the LISA Self Service Portal. This is to ensure that one password can be used for all your UT ICT facilities after changing your password. The password cannot be changed on the UT Workstation through (“Ctrl-Alt-Del”) or through Outlook Web Access (“xs.utwente.nl”).

If you do not remember your password, you can change them yourself through https://selfservice.utwente.nl/ at the right bottom of the web page change/activate password. However this is only possible if you have registered a private e-mail address before you forget it, an e-mail will be sent to your private e-mail address. You can check this and or modify this if required through https://webapps.utwente.nl/adreswijziging.

After a password change, always log out and back in again. The changed password must also be re-entered and stored on all other devices such as mobile phone, iPad, etc.

IMPORTANT for domain notebooks:

When using a domain notebook (the domain 'AD' or 'ad.utwente.nl' appears on the login screen) you must be at the UT and the notebook must be connected to the UT network with a network cable (optionally via a docking station) when changing the password.

In this way, your new password is synchronized with both the central ICT facilities and locally with your notebook. After changing the password, you can log into your notebook with the new password, also when the notebook is subsequently used with a wireless connection and/or you work outside the UT.

If you are not connected to the UT network when you change a password, your local password on the notebook is not changed. You can then still log on to the notebook with your old password, but central ICT facilities such as email/Outlook, etc. only work with the new password. When the notebook is connected to the UT network with a network cable at the UT, the new password will also be synchronized with the notebook.

Additional information

When an employee leaves, the account is disabled after 30 days (OBP) or one year (WP). Upon request, this period can be deviated from if the dean or service director approves. Students are able to make use of the account for 1 month after termination of their registration. External accounts will be terminated directly after the end date.

Students
Description

Each student who is registered at the University of Twente, will automatically be given an ICT account. The ICT account is created based on the email address. The ICT account provides access to:

  • Canvas
  • Osiris
  • UT web applications
  • Eduroam
  • VPN connection
  • PC rooms and UT Workplaces

The provisioning of student accounts is fully computerized within the student information system managed by CES.

Activate ICT Account

You have to activate your ICT-account first by setting a password. You can do this by visiting the selfservice portal at the right bottom of the web page change/activate password. Enter your login name and then on the next screen select Forgot My Password and follow the instructions on the screen.

Change password

The procedure at the UT to change your password for employees is through the LISA Self Service Portal. This is to ensure that one password can be used for all your UT ICT facilities after changing your password.

If you do not remember your password, you can change them yourself through https://selfservice.utwente.nl/ at the right bottom of the web page change/activate password. An e-mail will be sent to your private e-mail address. This private e-mail address is registered in Studielink.

Guests

Third parties and guest (external) 

People who are not members of staff or students sometimes require (external) access ICT account applications for external individuals.

If a guest needs an account for a longer period of time to make use of UT ICT services, UT staff members can apply for an x-account through the selfservice portal.

Wireless network access for external individuals

It is possible for guests to make use of the wireless network, for example Eduroam Visitor Access (max. 5 accounts). Employees can apply for such an account through the LISA Self Service Portal. On campus the open Wifi network (Enschede_stad_van_nu) can also be used. This open Wifi network does not need an account.

An x-account is activated maximal 1 hour after registration.  

Bulk applications

Temporary accounts can also be applied for in bulk through the events service at the LISA Self Service Portal.

 What is my UT e-mail address that I can log on with?

The e-mail address with which you advertise to the sender in e-mail communication is the UT e-mail address or search for your own name in https://people.utwente.nl/  to find your UT e-mail address.

Why are we going to start logging in with an e-mail address?
  • UTers have at least 5 different log in names, which is inconvenient for employees and for corresponding communications. It also generates queries to the ICT Service Desk.
  • You need to enter an email address when you log in to MS office365, sharepoint2019, Skype for Business etc. and you now need to enter a different email address (m7643328@utwente.nl)
  • With the advent of (private) cloud services, everyone is accustomed to logging in with one email address nowadays. The current situation is difficult to explain.

Changes

 What is changing?

An email address has been activated as your log in name in addition to your existing log in name. The existing log in name remains active for the time being. However, you can only log in to the Wi-Fi/VPN and office365 systems with the email address, because the old log in name no longer works.

What happens to the m-number /ICT account?

The m-number remains unchanged. You still need it for systems that you cannot log into with an email address. In addition, the m-number is still used for counters and registrations.

The ICT account name is an account with the sequence m1234567, this remains unchanged and is shown on your employee pass.
