How to Apply

Below are the steps to take if you wish to apply for a placement period. Are you planning to do a combination of courses and a research project, you need to follow the application process for combi courses and research project. 

  • Application process
    • Find a supervisor and assignment

      Find a supervisor and keep in mind the application deadlines.

      Supervisor by Research Group:
      Faculty of Engineering Technology

      Supervisor by expertise:
      Another way to find a supervisor is to use the Expert Finder to search for experts in (a.o.) AI, ChipTech, Climate, Robotics or Transport. 

      Application:
      Send an email with your request including your CV (curriculum vitae), transcript of records, and motivation letter why you want to opt for a placement and which ideas you want to work on.

    • Discuss terms and conditions

      When you have received a positive response from the research group, you need to discuss the terms and conditions of your placement. This means you have to agree on:

      - Content of the research project
      - Start and end date (see application deadlines).*
      (Make sure there is at least a 3-4 month period between starting your application and the actual start of your research assignment). 
      - Amount of ECTS (minimum of 5 ECTS and maximum 60 ECTS; 1 ECTS is 28 hours)
      - Course code

      Note that acceptance by the supervisor does not automatically mean that you are accepted for a placement at our university. Acceptance also depends on other administrative requirements, e.g. English language requirements, visa and placement period. It is not possible to inform you in advance (before applying) about the outcome of this administrative part of the assessment.

      *Placement less than 90 days [visa students]:
      If you wish to conduct research for less than 90 days, this is possible.
      In that case, you may apply for your own tourist visa.
      Please note that your stay cannot be extended under a tourist visa.
      The maximum permitted stay is fewer than 90 days, including both your arrival and departure days.

    • Fill out the Webform for pre-application

      Once you have discussed all details of your research with your UT supervisor, you will receive a link to complete a web form. This form ensures that you are registered correctly in our systems and get the necessary access to our facilities:

      As an exchange student – if you remain enrolled at your home university for the entire duration of your research.

      As an employee – if you are not enrolled at a foreign university, or if you have graduated or will graduate during your research period (“Recent Graduate”).

      After you have submitted the form, the Admissions Office will determine the appropriate type of registration.

    • Start your application

      Once you have discussed all details and it is confirmed that you can apply as an Exchange Placement student at UT, your UT supervisor will send you an application link to start your application in the platform Mobility-Online by creating an account. Make sure you enter the academic year in which you start your placement at our university.

      Keep in mind: you have to meet the English language requirements, and the application deadlines. For questions about your application get in touch with Student Services.

    • Submit your application including documents

      After creating an account in Mobility-Online, you need to submit the following documents digitally: 

      - Valid international passport or an ID card.
      - Proof of enrolment from your home university in English. Make sure it mentions the current degree, the programme title, status of enrolment, and the expected date of graduation.
      - Your English Certificate or exemption form, see our English Language Requirements.

      After submitting, you will receive a confirmation email.

    • Assessment of your application

      The University of Twente will assess if you meet the requirements based on the information and the documents you have provided. We aim to inform you about your admissibility within a few weeks after your application. In case your application is incomplete or additional information is needed, we will contact you.

    • Upload your Learning Agreement

      Once your documents have been approved, you need to download and return a Learning Agreement (LA) via Mobility Online. The LA needs to be signed by all parties; your home university, yourself and UT.

      Once the LA has been approved by our University, you can download the Acceptance Letter via Mobility Online. 

    • Visa, housing and enrolment

      Now you are ready for registration in our student information system Osiris. 

      Visa and student housing
      Depending on your situation, UT will assist international students requiring an entry visa for the Netherlands. and finding student accommodation. You will be contacted by our Student Services by email about the steps to take.

      If you are an incoming exchange student who does not require an entry visa and/or residence permit, you need to find an accommodation yourself. Tip: create an account at Roomspot

      Enrolment
      You will receive a confirmation email with login details for Osiris.
      Complete your enrolment and send the confirmation email to your research group.

    • Additional practicalities you need to arrange

      - Arrange Health & Liability insurance
      - Provide your contact information: When you have arranged a student accommodation, you need to fill in your contact information via the Online Application Form. Click on Contact information and fill in your travel information, address in the Netherlands and an emergency contact person from your home country. Complete this action as soon as possible.
      - Read the Get started guide. This guide is aimed at first-year bachelor's students, but will provide you useful information. 
      - Read the International Student Handbook. The guide will direct you to all the useful information on topics such as housing, formalities, insurance, campus facilities, support, part-time jobs and Dutch culture

    • During & after your research project

      Extension: If you want to extend your research project, you need to apply via Mobility Online. Your home university and the research group have to approve the request. 

      The total duration of your research project cannot exceed twelve months and depends on whether your residence permit can be extended.

      Departure:
      When leaving the Netherlands, make sure to take the necessary steps mentioned at this website.

      You will receive a Transcript of Records after your grade has been registered by your research group.
