General Terms & Conditions – Twente Health School 2026.

Please read this General Terms & Conditions page carefully before you register for the Twente Health School. 
By submitting the registration form, the (Prospective) Participant of the Twente Health School declares to have received these regulations from the University of Twente and agrees with their contents.

DEFINITIONS

Twente Health School: Name of the programme, provided by the University of Twente.
University of Twente (UT): Service provider and organiser of the Twente Health School.
Programme Fee: The costs for participating in the Twente Health School (also referred to as “ticket”).
Prospective Participant: A person who fills out the registration form, pays the Programme Fee, and receives a confirmation of their registration.
Participant: A PhD student or early-career researcher who, after receiving a confirmation of registration, will participate in the Twente Health School.

ADMISSION AND REGISTRATION

  1. The Prospective Participant can only register for the Twente Health School via aanmelder.nl, where the registration form can be completed, and payment can be made. When the registration form is submitted and payment is completed, the Prospective Participant will receive a confirmation of provisional registration for the Twente Health School, subject to meeting the admission requirements.
    The University of Twente will assess the registration first (see clause 6). After approval, the confirmation of registration will be sent to the Prospective Participant within one week after payment. The date of payment will be considered the registration date.
  2. If tickets are sold out, the Prospective Participant may choose to be placed on a waiting list. The person at the top of the waiting list will receive a notification when a ticket becomes available. First come, first served. A Prospective Participant may remain on the waiting list for a maximum of 14 days.
  3. The registration form will remain open until 1 april 2026. After this date, it will no longer be possible to register for the Twente Health School.
  4. It is the Participant’s responsibility to ensure that their English proficiency (equivalent to IELTS 6.0 / B2–C1 / TOEFL iBT 80) is sufficient to fully participate in the Twente Health School. The University of Twente is not liable for insufficient language skills, nor will any tests be administered.

PRIVACY

  1. The University of Twente acts in good faith to provide the (Prospective) Participant with access to their personal information and to correct or delete data if necessary, unless retention is required by law or for evaluation purposes. The participant’s email address may be used for communication related to the Twente Health School.
    The University of Twente’s general privacy statement also applies to the Twente Health School.

CANCELLATION POLICY

Cancellation by the University of Twente

  1. The University of Twente assesses each registration to:
    • ensure compliance with applicable international sanctions and export control law; and
    • verify that the Prospective Participant is affiliated with the institution listed in the registration form. Applicants are asked to upload proof of registration or employment for the current academic year.
  2. The University of Twente reserves the right to cancel a registration if any of these requirements are not met.
  3. In the event that the University of Twente decides to cancel the Twente Health School due to restrictions or national regulations (e.g. related to public health or other force majeure situations), participants will be informed as soon as possible.

Cancellation by the Participant

  1. If the Participant wishes to cancel their registration, reimbursement of the Programme Fee is possible as follows:
    • Before 1 March 2026 (midnight CET): 100% reimbursement
    • 1–31 March 2026 (midnight CET): 50% reimbursement
    • After 1 April 2026 (midnight CET): No reimbursement
  2. Obtaining a visa (if applicable) is the Participant’s responsibility. Failure to obtain a visa does not exempt the Participant from the payment obligation. Subject to clause 8, Programme Fee reimbursement is not possible.
  3. If a Participant has received an Erasmus+ or other mobility grant, and wishes to cancel, they must follow their home institution’s cancellation policy. Subject to clause 8, Programme Fee reimbursement by the University of Twente is not possible.

LIABILITY

  1. The University of Twente is not liable for any damages or costs incurred by the Participant, including travel or personal expenses, in the event of termination under clauses 6–10. For clarity:
  • If the Twente Health School is cancelled by UT (clauses 6–7), only the Programme Fee will be reimbursed.
  • If the Participant cancels (clause 8), only the applicable portion of the Programme Fee will be reimbursed.

INSURANCES

  1. Participants are strongly advised to obtain travel, health, and cancellation insurance. Obtaining appropriate insurance is the Participant’s personal responsibility. Refunds related to programme cancellation depend on the conditions of the insurance provider. Participants are responsible for maintaining third-party liability, accident, and health insurance coverage during the Twente Health School.

GROUP REGISTRATION OFFER

  1. When four (prospective) participants from the same institution register for the Twente Health School, the fifth participant from the same institution will receive a 50% discount code for their registration.
  2. To receive the discount code, the group must contact us via twente-health-school@utwente.nl
  3. after the first four participants have registered and before the fifth participant completes their registration. Once verified, the fifth participant will receive the discount code by email.
  4. The discount code is personal and non-transferable. Any misuse or mismatch between the nominated name and the registration details will result in cancellation.
  5. Each discount code may be used only once.
  6. If tickets are sold out, the discount code cannot be used. The fifth participant may instead join the waiting list (see clause 2).
    The discount code is valid until 1 April 2025. After this date, registration for the Twente Health School closes.

FINAL PROVISIONS

  1. Participants from international institutions who register for the Twente Health School do not affect the exchange balance between the University of Twente and their home institution. Please contact your institution’s exchange coordinator for more information.
  2. The University of Twente will decide in reasonableness and fairness on any unforeseen situations not covered by these terms and conditions.
  3. These terms and conditions (and any agreement between the Participant and the University of Twente) are governed by Dutch law. Any disputes that cannot be resolved through good-faith discussion will be submitted to the exclusive jurisdiction of the courts of Overijssel, the Netherlands.
