Information for presenters

BMS RESEARCH CONFERENCE: NOVEMBER 6, 2025 

This page contains information about the preparation and flow of each session type.

Posters

Preparation: Poster presentations showcase a project, program, process, activity, or similar experience in a visual and interactive setting. There are no formatting requirements. Posters will be hung on (white)boards or windows. Tape will be available. Morning presenters are encouraged to set up their posters upon arrival. Afternoon presenters are encouraged to set up their posters during lunch break.

Flow: The audience will float between concurrent offerings during the coffee breaks (10:30-11:00 or 15:00-15:30). Presenters are encouraged to consider having paper cards, v-cards, or QR codes at hand for interested visitors who would like to connect or learn more after the session.

Topic sessions

Preparation: Papers and symposia are presented in traditional stand-up sessions with a focus on sharing information. Those scheduled in the morning (11:00-12:30) fall into topic sessions. Research theme and sector plan coordinators are in charge of the detailed planning for these sessions. NB: The organizing committee is not actively supporting hybrid or remote sessions. However, if presenters feel the need to self-organize this, they are free to do so.

Flow: The exact flow of each topic session is unique. Please direct any inquiries about topic sessions to the relevant coordinator(s):

Interactive sessions

ROUNDTABLES           

Preparation: Roundtables are designed for small group discussion of specialized topics, with the presenter leading the discussion. There are no strict rules, but presenters are encouraged to limit media use to discussion-facilitating handouts only, for example with +/- 2 key visuals and +/-3 discussion questions.

Flow: The audience will float between concurrent offerings throughout this slot (13:30-15:00). Presenters are encouraged to have handouts, paper cards, v-cards, or QR codes at hand for interested visitors who would like to connect or learn more after the session.

WORKSHOPS           

Preparation: Workshops are intended to provide professional development opportunities that result in participants acquiring new skills. All workshops are scheduled for 45 min each (between 13:30-15:00), in sets of two. The expectation is that they will be given in the order indicated on the program. If needed, presenters are welcome to prepare the rooms during the lunch break. To encourage free-floating participation throughout the day, there will be no pre-registrations. 

Flow: Given the thematic clustering, we anticipate that most participants will prefer to stay in the same room for both workshops, but presenters should be prepared to handle a few late arrivals, as there will probably be several people who end up choosing for a first workshop in one room and a second workshop in another. Presenters are encouraged to have handouts, paper cards, v-cards, or QR codes at hand for interested visitors who would like to connect or learn more after the session. 

DEMONSTRATIONS         

Preparation: Demos provide an opportunity to explore high-quality examples of research innovations (e.g. apps, equipment, protocols, instruments). There are no strict rules, but presenters are encouraged to practice giving the main content in <5 minutes, so that there is time for discussion with visitors.

Flow: The audience will float between concurrent offerings throughout this slot (13:30-15:00). Presenters are encouraged to have handouts, paper cards, v-cards, or QR codes at hand for interested visitors who would like to connect or learn more after the session. If needed, presenters are welcome to prepare their demos during the lunch break.

ASK-THE-EXPERT(s) HELPDESKS

Preparation: These sessions offer walk-up Q&A or helpdesk services centered on a theme of expertise. There are no strict rules, but presenters are encouraged to bring resources with them that help visitors orient to the area(s) of expertise available (e.g. books, articles, posters). 

Flow: The audience will float between concurrent offerings throughout this slot (13:30-15:00). In one room, there will be a table for each individual ask-the-expert(s) helpdesk. Presenters are encouraged to have handouts, paper cards, v-cards, or QR codes at hand for interested visitors who would like to connect or learn more after the session.

Themed symposia

Preparation: Symposia are curated sets of multiple contributions (e.g. papers or posters) centering on a shared theme. Symposia scheduled in the afternoon (15:30-16:15) fall into the themed symposia category. These sessions are chaired by the corresponding contributor, unless otherwise specified. Please direct any inquiries about the preparation or timing of symposium components to that person. NB: The organizing committee is not actively supporting hybrid or remote sessions. However, if presenters feel the need to self-organize this, they are free to do so.
