Terms and Conditions for P-Nut activities.

1) Motivation

The P-NUT board is composed by fellow PhD students and like you, they are immersed in their daily research activities as well! Besides their normal work they devote some of their free time to foster a good spirit amongst the PhD students of the University of Twente. All board members do so willingly without any force or threat! If we ever manage we will post pictures on facebook ;-)

In order to enrich the community experience we organise activities from time to time. Some of them are free of charge. Others are not but we always subsidise these activities. We request you to register if you want to participate in an activity.

The registration is done purely because we can organise the event and front up any costs associated. This also allows us to plan and optimise the usage of funds that we receive from the university. We are not held to very tight and draconian control, but we like to be sensible in what we do, of course. This means that if we ask you to register in advance we are counting on you coming (and paying). We then go full board to organise the activity and pay any money to third parties that are involved. If you join us as promised, that is money well spent indeed! If you don’t, we go even more broke.

2) Terms

Of course until now we have not been very formal about all this. Mainly because it was not necessary. From now on things will change slightly. When you register for an activity we, the P-NUT board, will ask you, The Participant, to read and understand the terms and conditions that are in this document. If we have any changes in them we will let you know what the changes are and where the new version can be found on our website.

The terms are very simple:

2.1) When you register you will agree to these terms. Whether you read them or not. (You are a PhD student so we know you can read)

2.2) As part of the registration we will ask you for your name and e-mail address. Your data will only be used for the purposes described in these terms and conditions. You can ask for it at any time, and we will provide it for you. We are not being nice here its just the law about data protection.

2.2) We will confirm to you that you can attend the activity at least 2 days before the activity.

2.3) You can cancel at any time by contacting us at least 1 day before the activity. Sending an email to p-nut@utwente.nl is enough, no need to sign any documents in blood.

2.4) If you signed up (and did not cancel in advance) we expect you to pay latest during the activity the full amount specified to you when you registered. This is no matter if you show up or not. This contribution is rarely above €10!!

2.5) Once the activity is organized a member of the P-NUT board will check if all participants are present and payed their contribution for the activity.

2.6) Any registered but absent participants will be duly noted. We will not name names but we will send you a kind e-mail asking you to pay.

2.7) Until the payment has not been cleared we reserve the right to restrict you from other P-NUT activities. In case of extraordinary circumstances, ones we can not think about now, you can always contact any member of the P-NUT board to discuss your situation. We will ask you to pay nevertheless. And as mentioned earlier, it’s not going to be that expensive.

2.8) Once you have paid we will forget everything about it, and erase all data, and you will be able to register and participate in all further activities. No hard feelings!

We hope that its clear and that with most things we will never have to sit together and read this document.
