Doing a PhD within the School of Management and Governance FACT-SHEET

This document contains a list of important information and facts that are of concern for PhD’s within the School of Management and Governance.

The SMG PhD Supervision Guide :
Our School has developed its own Supervision Guide for PhD’s. We have structured the PhD trajectory into different milestones. In our policy document
Supervision Guide PhD Candidate is stated when the milestones should be reached and which actors are responsible for that. We also keep a database up to date containing these milestones after the enrolment of a PhD. Periodically, reminders are sent when milestones (like the Qualifier) are to be reached.

Training and Supervision Plan:
Within three months after you have started doing your PhD, we ask of you to hand in (at the SMG HR-Department) your Training and Supervision Plan, which you have to formulate by mutual agreement with your promoter/daily supervisor. Within this document a time path for your PhD trajectory is formulated, together with courses that you are going to follow and/or events (like congresses, summer schools, etc.) that you are going to visit.

Qualifier Meeting:
Between the 6th and the 12th month after you have started doing your PhD, a Qualifier Meeting has to be organized (within your Department, it is also the responsibility of your Department) where you have the opportunity to give a presentation about your research. You, and also the chair of your Department, will receive a reminder from the Research Office when the Qualifier has to be organized.

Appraisal Interview:
Between the 9
th and the 12th month after you have started doing your PhD, you will have an appraisal interview with your promoter and daily supervisor. They will receive a reminder from the HR department and have to arrange this interview with the PhD. This interview is meant to decide whether a PhD trajectory will be continued or not.

Annual Interview:
Within the first year, and after that once a year during the continuation of a PhD trajectory, A PhD will have an annual interview with their supervisor.

Annual PhD Day SMG:
The School of Management and Governance organizes on a yearly basis a PhD Day. This day offers an opportunity for all PhD’s within our school to meet each other in an informal setting and to present their research for peers and colleagues within our Faculty. It is a great way to ‘practice’ presenting your research. This year the PhD Day is held on the 22nd of September.

The Confidential Advisor for PhD’s:
Within our School we have appointed a confidential advisor for PhD’s. If a PhD encounters problems within the PhD trajectory, for example the supervision could be poorly arranged or there even could be a lack of supervision, there could also be difficulties in the working relationship between PhD and supervisor, or the lack of contact with peers from the research field, these kinds of problems can be addressed with the Confidential Adviser for PhDs.

The adviser functions as sounding board and mediator, but he does not pass judgment. He can advise individuals, mediate between parties, and, if necessary, arrange professional mediation. The Confidential Adviser for PhD’s can also obtain information necessary to understand problems that are being addressed. Your best interests always come first. Fokko Jan Dijksterhuis is our School’s Confidential Advisor. Within the first two months after you start doing your PhD you will be invited for a preliminary talk with our Confidential Advisor by the HR department.

Courses for PhD’s:
On a central UT level there is an numerous offer of courses especially organized for PhD’s. This varies from technical writing, presentation skills, to personal branding. Another way to sign up for courses is via the Research School that you might be adjoined with through your research department. On our website you find links to the websites of all the research schools SMG Departments are related to, and the courses they offer.

Events for PhD’s:
Besides courses and our annual PhD Day there are a lot of other activities that are organized for PhD’s. On our website we keep you posted on the upcoming events. This can vary from upcoming defenses of fellow PhD’s, activities organized by research institutes like IGS and CTIT, Dutch scientific organizations such as NWO and KNAW and of course the Twente Graduate School.

Twente Graduate School (TGS):
The TGS offers Graduate Education.
Graduate education at the Graduate School gives students an opportunity to immerse themselves in high-impact research projects across a variety of disciplines and to benefit from close interactions with world-class researchers and teachers. Within the framework of TGS, integrated MSc and PhD programmes will be offered in cooperation with the university’s research institutes and their most excellent researchers. TGS is to become a breeding ground for research talent. It sets high standards. There is a rigorous selection for the research and educational programmes. The TGS offers a number of activities for PhD Students.
