Q: When I fill in my previous qualifications, the form incorrectly gives the Netherlands as the country. What should I do?

A: If the form incorrectly gives the Netherlands as the country when you are filling in your previous qualifications, you do not have to do anything about this. It is a technical error in the interface. The country has been registered correctly in our back-office system.

A: You do not have to send reference letters while applying for admission. Please include the names and addresses of your referees in the online application form.

Q: What is the deadline for submitting my English language test results?

A: The deadline for submitting your English language test results depends on a number of factors. If you want to apply for a scholarship, you will need to submit your English test score report before the scholarship application deadline. You can find the official deadlines on the following web page: http://www.utwente.nl/internationalstudents/scholarshipsandgrants/.

If you do not apply for a scholarship but you need a visa, you have to submit your English test scores before we can start processing your visa application.

If you do not need a visa, you can send your application at a later date, before you make your final arrangements to attend the university.

Q: I have submitted my application and required documents online via the application portal site. Do I still need to provide all the documents in hard copy versions to the Admission Office in order for my application to be processed?

A: If you have submitted your application and required documents online via the application portal site, you do not need to provide hard copies at this time. As soon as the Admission Office has reviewed your documents, you will be informed by e-mail.

Q: I am from an English-speaking country in Africa. Do I need to take an English proficiency test?

A: If you are from an English-speaking country in Africa, you will have to take one of the approved university English tests. Please visit the following website for more information: http://www.utwente.nl/admissionoffice/master/files/genadmisreq-2012-2013/ .

The English proficiency test is a mandatory requirement unless you are a native English speaker from Australia, Canada, Ireland, New Zealand, the United Kingdom or the United States of America. If you have obtained a relevant Bachelor’s degree from an accredited academic institution in the Netherlands, you are not required to take an English proficiency test.

A: Unfortunately, the Dutch government has discontinued the Huygens Scholarship Programme.

Q: How can I apply for a Visa?

A: The International Office at the University of Twente helps students who have been admitted (or provisionally admitted) to a degree programme to arrange and apply for a visa. Under Dutch law, students cannot apply for a visa individually. All international students accepted (or provisionally accepted) by a Bachelor’s, Master’s or exchange programme and who require a visa or residence permit will be contacted by the International Office and will receive assistance with all visa procedures.

Q: What is the IND?

A: The IND is the Dutch Immigration and Naturalization Service (http://english.ind.nl ). It is run by the Ministry of the Interior and Kingdom Relations and is the official national organization that handles all visa and residence permit applications and extensions in the Netherlands. The International Office will contact the IND on your behalf to arrange for your visa application to be processed. Under Dutch law, students are not allowed to apply for a visa individually.

Q: How long does it take to process my Visa application?

A: The International Office will send your visa application to the Dutch immigration authorities (IND). The IND may take two to five weeks to approve or turn down your visa application. Once the IND has processed your application, the International Office will inform you by e-mail about the final decision. If your application is approved, you will be asked to contact the Embassy of the Kingdom of the Netherlands (Passport, Visas & Consular Affairs) in your country of origin. The Embassy will let you know where to pick up your approved visa. Please note: distribution and opening times of embassies may vary. We strongly recommend that you make an appointment as soon as you receive confirmation that your visa

Q: Will I receive an e-mail confirming receipt when I send you my documents for my visa application?

A: The International Office receives many documents daily. As a result you may not receive confirmation of all documents received. If any necessary documents are missing from your visa application, the International Office will contact you by e-mail.

Q: How can I obtain an Entrance Acceptance Form?

A: When you have completed all of the necessary paperwork for the admission procedure and have been admitted (or provisionally admitted) to the university, the Admission Office will send you an Entrance Acceptance Form (EAF). Fill in the form and return it to the Admission Office before the deadline. Provided that your entrance acceptance form has been received before the deadline, the International Office will send you an e-mail telling you what steps you need to take to complete the visa application procedure. Please note, the International Office cannot start the visa application process until four months before the official starting date of your degree programme.

Q: When will you start the process for my entry Visa application?

A: All international Master’s, Bachelor’s and exchange students who require a visa will be guided through the application procedures by staff at the International Office. Once you have sent the completed Entrance Acceptance Form (EAF), you will receive an e-mail from the International Office, explaining the visa application procedures. As soon as the International Office has received all the required information, we will send your visa application to the Dutch immigration authorities (IND). Please note, the International Office cannot start the visa application process until four months before the starting date of your degree programme.

Q: How does the Visa application procedure work?

A: You send your visa application to the International Office. It will then be sent on to the Dutch immigration authorities (IND), where it will be processed in two to five weeks. When the IND has processed your visa application, the International Office will inform you about the decision by e-mail. The International Office cannot influence the IND procedures in any way. If the IND has not informed the International Office of the status of your visa application within five weeks, the International Office will contact the IND to find out why the application has not been processed.

Q: Where can I pick up my visa?

A: Once you have received an e-mail from the International Office stating that your visa application has been approved, you can pick up your entry visa at the Embassy of the Kingdom of the Netherlands (Passport, Visas & Consular Affairs Office) closest to your permanent residence.

Q: When can I pick up my visa?

A: The International Office will inform you by e-mail when the Dutch immigration authorities (IND) has sent a confirmation letter stating that your visa application has been approved. This e-mail will tell you how to collect your entry visa. You can collect it from the Embassy of the Kingdom of the Netherlands (Passport, Visas & Consular Affairs Office) closest to your permanent residence.

Q: I do not have my visa yet. Can I already book my flight to the Netherlands?

A: We advise you not to book your plane ticket until you have an entry visa. You may choose to make a refundable reservation when you book your flight. We strongly advise you to contact the airline to find out whether your plane ticket can be refunded in the event that your visa application is delayed.

Q: When can I apply for my residence permit?

A: You do not need to apply for your residence permit separately. The International Office will apply for both your residence permit and your visa at the same time. You will receive your residence permit shortly after your arrival in the Netherlands.

Q: When can I open a Dutch bank account?

A: Before your arrival in the Netherlands, you can open a bank account at the ABN AMRO Bank, which has a formal agreement with the university. During the introductory period for new students, you can visit the bank’s Enschede branch to activate your account. It is not possible to activate your account before you arrive in the Netherlands. Q How much does the Visa application cost to process?

A: Administration costs for obtaining a visa and residence permit are €600. The International Office will automatically deduct this amount from your scholarship funds and transfer it to the Dutch immigration authorities (IND). The administration fees for obtaining a visa are set by Dutch law. The International Office does not have the authority to change the cost of official government procedures.

Q: Do I need to de-enrol as a student after completing my degree programme at the University of Twente?

A: Upon completion of your studies, you are required to de-enrol as a University of Twente student. If you do not do so on time, you will continue to be charged full tuition fees. Please visit the Student Service Desk located in the Vrijhof Building for more information on de-enrolment. Bear in mind that you may need to take care of other official matters when you leave, such as de-registering at the municipality, closing your bank account and cancelling your health insurance policy.
