INTRODUCTION
The new UT-workstation will be installed on all workstations shortly. With these pages we want to inform you about the changes regarding your computer.
Where possible, links are supplied giving access to more detailed information.
This flyer can also be found on the UT website: http://www.utwente.nl/ut-workstation
CHOICE: STANDARD OR BASIC
The UT offers each employee a standard workstation. This type of UT-workstation is managed by ICTS. Many applications are already installed and ready for use on the standard workstation. You can customize this installation by adding software yourself (see below under Applications).
In consultation with your ICT-conctact it is possible to install your workstation as a basic workstation. A basic workstation differs from the standard workstation in one important aspect: you become the administrator of the workstation. In case of problems with your workstation, the Servicedesk will support you as usual. On-site support however will be given upon request only, and your group will receive a bill.
If you have been supplied with a standard workstation, but your work requires you to be able to manage your workstation yourself, then ICTS will simply change it into a basic workstation.
The other way around is more complex: When self-management of your basic workstation is too much trouble and you would like us to take care of your computer, we will change it into a standard workstation. However, this process requires a re-installation of the system.
There is a more detailed description (in Dutch) of the standard and basic workstations here:
http://www.utwente.nl/icts/medewerkers/ut-werkplek/keuze.doc/
LOGIN: NEW DOMAIN
From the moment your UT-workstation is installed, you log on to the AD-domain.
For example: if you previously logged on with the login name DEPT\SmithJ, from now on log on with AD\SmithJ.
PERSONAL SETTINGS
Personal settings (except the folders Documents and Favorites) are stored locally on the UT‑workstation. When you log on to a UT-workstation for the first time, the printers are not added yet, and some software may not be installed yet. You can add these using the information further down this document under PRINTING resp. APPLICATIONS, or use the more elaborate manuals on the ICTS website.
DATA AND NETWORK DRIVES
On the standard UT-workstation three disks are automatically offered.
- |
M: (My documents) is a private storage disk (only accessible by you). |
- |
P: (Project disk) is your group’s network drive. |
- |
U: (UT disk) is used to store UT related information; for example templates in the UT lay out can be found here. |
Those drives are backed up daily by ICTS. Backups are kept for four weeks. Data on the local C: and D: drive is not backed up. Please keep that in mind when saving data .
If you accidentally deleted or lost files, you can in most cases restore them yourself using the Previous Versions functionality. The Microsoft manual on how to do this can be found here:
http://windows.microsoft.com/en-US/windows7/Previous-versions-of-files-frequently-asked-questions
If you choose to store documents locally (that is on your computer’s internal hard drive, or on an external hard drive, USB stick, CDR, DVD, or any other medium other than the network drive), you are responsible for making back-ups.
DATA MIGRATION TOOL
When your computer is reconfigured as a new UT Workstation, the data on its hard drive will be erased permanently in the process. You are responsible for backing up files that are saved on the hard drive of your computer before we install the UT-workstation . The Data Migration Tool helps you to do just that. Based on your directions, this tool searches for files and backs them up.
You can find the Data Migration Tool here: \\ad.utwente.nl\ut\tempstorage
The backup will be saved on a temporary network drive. The maximum amount of space for this backup is 30 GB. If you need more space, use another solution for storing the backup, such as an external drive. 4 weeks after your computer has been reconfigured as a new UT workstation, the backup will be automatically deleted. Make sure that you have copied the backed up files to your UT-workstation within this four week period.
WINDOWS 7
The new UT-workstation will be installed with Windows 7, the successor of Windows XP and Vista. The main differences between Windows XP and Windows 7 can be found here:
http://www.utwente.nl/icts/medewerkers/ut-werkplek/windows7.doc/
OFFICE 2010
Microsoft Office 2010, the latest Office version, is installed on the new UT Workstation. Its interface has changed dramatically when compared to Office 2003. ICTS has made a list of Office manuals on the website:
http://www.utwente.nl/icts/handleidingen/office2010/
For each Office application there is an interactive guide which assists you to locate Office 2003 menu items in the Office 2010 ‘ribbon’. Additionally, there is an e-book available listing the most important differences between Office 2003 and 2010:
http://ubalpha.civ.utwente.nl/ebooks/first_look_msoffice_2010.pdf
The 2010 version of Microsoft Outlook is installed on your new UT workstation. You can check the links in the Office 2010 part of this flyer for information on the differences with Outlook 2003. You have to configure settings like lay-out and shared calendars that you added previously to Outlook.
PRINTING
You can add any UT Network printer to the new UT Workstation. All printers have a name, which is listed on a sticker on the device.
If you want to add that printer, follow these steps:
1. |
Open menu start > devices and printers |
2. |
click Add a printer |
3. |
click Add a network printer… |
4. |
Look for the printer’s name in the list, select it and click Next |
5. |
The printer is added. |
There are manuals on the ICTS concerning this: http://www.utwente.nl/icts/en/handleidingen/
APPLICATIONS
There are two categories of applications that can be installed on the UT Workstation:
· |
Fix |
The faculty or unit for whom you work specified a list of applications to be installed on each of its computers; these applications are already installed on your UT Workstation.
· |
Flex |
There is a number of applications you can install on your UT-workstation yourself.
To install an application, follow these steps:
1. |
Open Start > Novel ZENworks > ZENworks Application Window |
2. |
A window with a categorized list of the available applications appears. |
3. |
Double click on the application to install. |
OLDER DEVICES
There is a small possibility that older devices (such as a scanner, local printer etc.) connected to the computer, don’t work properly anymore after the computer has been reconfigured as a UT Workstation. Sometimes a devices does work, but only when using the Windows software, and no longer with the software supplied with the device. This means the way of working with the device changes.
There’s also a possibility the device entirely stops working under Windows 7. In that case, contact your ICT-contact person to decide if you can use an existing other device, or if the device can be replaced.
You can check if your hardware is compatible with Windows 7 on this page:
http://www.microsoft.com/windows/compatibility/windows-7/en-us/default.aspx
WORKING OUTSIDE THE UT
If you have a laptop installed as a UT-workstation, you are able to use it outside the UT. Files in Documents and Favorites are saved on the M: drive; these folders are also available offline.
To access the network drives from outside the UT network, you will need a VPN connection. Without a VPN connection, the amount of available applications is smaller than with a VPN connection. Read how to create a VPN connection here:
http://www.utwente.nl/icts/en/handleidingen/vpn/win7/
To access the UT network drives while you are outside the UT network, follow the directions in this manual:
http://www.utwente.nl/icts/en/handleidingen/werkplek/data_opslag_utw_win7_en.doc/
You can attach any printer, scanner, USB stick and other peripheral you have at home to your UT-workstation laptop.
